The Ezralow Company is a well-established property management company. As an employer, we believe our employees are our greatest asset! We are currently looking for an experienced General Office Assistant to support our Office Services Department within our corporate offices located in Calabasas, CA.

Office Assistant Job Description
As a General Office Assistant, you will directly support our Office Services Department. You will work with a team to ensure our internal departments flow smoothly. As a General Office Assistant you will be expected to perform a wide variety of duties including: running errands, processing mail, administrative functions, and switchboard relief. This position is ideal for a candidate who enjoys performing a multitude of functions.

Office Administration Duties
Telephone switchboard relief for the receptionist.
Errands, including driving for the company as needed.
Serve as backup to call for service of various vendors
Special projects for Office Services and serve as backup for the Office Services Coordinator.
Will assist the Regional Property Supervisor and the Controller with administrative duties including but not limited to: filing, processing outgoing mail, faxing, photocopying, preparing excel reports, forms, flyers, etc.
Maintaining key database and organizing key boxes.
Banking, entering data, typing, and photocopying as needed.
Refill paper/toner for all fax/copy equipments.
Order and maintain records/supplies from vendors.

Mail Responsibilities
Distribute incoming mail as well as interoffice mail, check and refill postage consumables.
Process outgoing mail.
Keep mailroom organized

Monthly Responsibilities
Maintain postage refills and records of refills.
Zero out account balances and print reports.
Print the postage account summary report on the last day of each month and update the excel spreadsheet.
Replenish postage by following directions in the Pitney Bowes book as soon as the payments are received, process checks for postage, no later than the 25th of each month.
Check postage equipment to make sure machine is in good working condition.

Kitchen Responsibilities
Rinse out coffee pots.
Wipe down counters and keep dry.
Dispose of daily newspapers and leftover food and utensils
Make sure kitchen is left in tidy and organized fashion.
Restock all supplies:
Clean out refrigerator, coffee dispensers & filter, and toaster oven
Run Dishwasher
Reorder all inventories for kitchen supplies including cleaning products
Review delivery of supplies and put away immediately.
Replace old magazines.
Keep all cabinets well organized

Conference Room Responsibilities
Make sure all 3-conference rooms are neat and well organized; pick up any remaining trash from meetings.
Check and restock all refrigerator contents. Make sure refrigerator is clean. Dispose of expired beverages.
Maintain and restock office supplies as needed.

Monthly Celebration Responsibilities
Decorate the birthday board with an appropriate theme for that month.
Collect photographs and/or surveys from the people whose birthday falls within that particular month by e-mailing them one week prior to the beginning of each month.
Order or pick up all food and supplies needed for the celebration.
E-mail the details of the event including the date, time, where it is, and what will be served to the entire office during the first week of the month.
Cleaning up the kitchen after each celebration including wrapping up leftovers and discarding of all garbage.

QUALIFICATIONS
Minimum of 2 years of previous office/clerical experience.
Intermediate computer knowledge with the following software: MS Word, Excel and Outlook.
Excellent customer service skills.
Typing 35 wpm.
Knowledge of office equipment (i.e. fax machine, copiers, printers, typewriters, etc.).
Flexible and dependable.
Personable and trustworthy.
Must have dependable automobile, insurance, and good driving record.
