The job -
First contact for incoming calls and visitors to the office. Directs callers to appropriate personnel, maintains contact database for changes/additions, makes bank deposits and credit card transactions, handles all administrative functions for the Mentor Network and assists with event registration by performing the following duties:
Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
Answers questions about organization, events and website and provides callers with address, directions, and other information.
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. Monitors visitor access at front door.
Maintains contact database from event attendance reports, business cards and other sources of additions/corrections.
Makes bank deposit and credit card charges/credits for event attendance and contributions.
Updates website weekly, as directed by Marketing Director and Administrative Services Manager.
Updates Marketing packets, maintaining a supply of 25 at all times.
Maintains Mentor database, sends e-mail invitations to Mentor Breakfasts, receives and processes new Mentor applications and resumes.
Assists with event administration by maintaining R.S.V.P. lists, creating name badges, agendas, sending e-mail reminders, calling speakers for presentations, preparing and mailing invitations, and participating in registration activity on day of event.
Receives, sorts, and routes mail, and maintains and routes publications.
Orders, receives, and maintains office supplies.
Creates and prints memos, correspondence, reports, and other documents when necessary.
Performs other clerical duties as needed, such as filing, photocopying, and collating.

REQUIREMENTS
Qualifications –
High school diploma, one to two years related experience and/or training; or equivalent combination of education and experience.
Ability to speak effectively before groups of customers or employees of the organization.
1+ years of office, administrative or receptionist experience required.
Computer proficiency with Word, Excel and Outlook required; ACT database preferred.
