Night Legal Secretary (Prefers Intellectual Property Experience)
Night IP Legal SecretaryMidtown NYC Law Firm seeks a Night IP Legal Secretary to join its team (4pm-12am). The qualified candidate will effectively and efficiently performs a broad range of secretarial, administrative and clerical duties for three or more attorneys, patent agents and technical advisors including, but not limited to, the preparation of patent and trademark applications to be filed in both the United States Patent and Trademark Office and International Patent Offices, all supporting documentation needed to bring about the issuance of a patent and/or registration of a trademark in the U.S., as well as foreign registrations; and of correspondence with the PTO and with clients. All personnel should be willing to help with other duties, tasks, or responsibilities, which may be required to "get the job done". The Essential Job Functions are as follows: Opens, sorts and prioritizes mail for assigned legal staff. Works cooperatively with identified team members, both legal and non-legal. Handles confidential and non-routine information in a professional manner. Circulates and distributes correspondence to attorneys, patent agents, and /or technical advisors handling the case by hard copy and/or scanning email. Creates and maintains desk information sheet and is knowledgeable about desk information sheets of team members. Becomes proficient in firm billing software. Prepares and processes client’s bills according to established firm guidelines, ensuring that they are distributed to the client. Performs routine to complex filing. Develops and maintains filing systems. Maintains electronic files within firm-licensed software. Prepares correspondence, memoranda and other legal and non-legal documents in anaccurate and timely manner. Spell checks and proofreads each document for content and context. Proficiency in firm licensed software as well as department specific software. Maintains professional demeanor in all communications. Becomes proficient with office procedures and keeps current with policy manual, procedure manual and non-exempt staff handbook. Remains flexible and responsive to firm’s operational needs. Provides overflow and team coverage throughout the firm at the direction of the Supervisor.
Assists with software application testing and support. Participates in practice group business development activities and programs utilizing marketing and secretarial resources. Participates in firm initiatives and special projects, e.g. Process Improvement Program (PIP), training, professional development & training, and focus groups. Organizes daily calendar of assigned legal staff, coordinates conferences and arranges outside travel. Other responsibilities include: Performs other work-related duties as assigned. Education, Experience and Skills Required: Types 60 wpm. Proficient with Microsoft Office XP. Excellent verbal, written, organizational and interpersonal skills. Minimum requirement high school diploma. Two years work experience or two years secretarial school preferred.Essential Capabilities: Must demonstrate the ability to maintain strict confidentiality of the firm's internal and external business and client matters. Ability to interact effectively with all levels of firm personnel, including management staff and support staff. Must be flexible and able to work under tight deadlines, handle multiple tasks, and respond quickly to changing priorities. Able to work in a teamwork/collaborative style and environment and is willing to assist/support others.Must pay attention to details and have the ability to follow up and follow through. Ability to maintain professional demeanor in all situations.
