Job Description:
Coordinates all activities necessary to effectively conduct medical convention exhibits and support functions related to those activities. Responsibilities include the ability to effectively handle concurrent projects with similar time lines. Medical conventions present a valuable opportunity for the company to enhance its image, promote its products and services to specific targeted audiences, defuse competition, and facilitate contact with key thought and opinion leaders to meet specific objectives, i.e. studies, speaking engagements, etc. The incumbent ensures that Bayer's image is promoted, consistent with corporate policy across all disciplines.
Incumbent must possess strong human relations skills and be able to work effectively with individuals of diverse backgrounds. Incumbent must be familiar with international meeting issues and procedures. Incumbent must deal diplomatically, but assertively, with the various vendors and company personnel at meeting site to ensure all aspects of meeting proceed as planned and meeting objectives are fulfilled. Good judgement and the ability to remain composed in high pressure situations is critical. Position requires 50% travel. Must have keen negotiation skills and understand catering and hotel terminology. CMP certification preferred.
REQUIREMENTS
Bachelor's Degree - Marketing or Hospitality
3 - 6 yrs. Incumbent must solve unique problems related to meetings with various in-house personnel as well as hotel/vendor personnel, restaurants, travel agency, ground operators, etc. In most cases incumbent solves problems independently. Incumbent must anticipate potential problems and prepare back up plans in the event a vendor fails to perform as promised or in the event another influence interferes with the original plan.
The Meeting Planner reports to the Manager, Meetings and Conventions, and is responsible for coordinating dates, sites, air, and ground transportation, social functions, sporting activities, hospitality functions, reserving sleeping and meeting rooms. Negotiating of all associated meeting costs is a key component of this position, as well as, reviewing, summarizing, coding, and authorizing of supplier billings, and on-site meeting management. Additionally, the incumbent must be familiar with other countries' protocols and customs when planning international meetings. Incumbent participates in the setting of meeting objectives through creative planning and by working closely with other company personnel ranging from secretary to President.
Proficient skills in MS Office (Word, Excel, Powerpoint) and LotusNotes
Background in large (over 200 attendees) meeting planning, hotel/convention management.
