DESCRIPTION:Responsible for performing routine clerical duties in accordance with standard administrative office procedures.
RESPONSIBILITIES:
Order chemicals, and materials for production and lab
Conduct daily morning inspections of bulk soap tanks
Maintain all inventoried safety supplies (hair nets, rubber gloves, eye protection,
ear protection, etc.)
Receive all parts for departments
Place repair parts with work orders in staging area
Place all stock parts in designated area
Notify respective parties of parts or material arrival
Match all invoices with purchase orders
Send out all purchase orders for review and signing
Upon receiving purchase orders back from signer send invoices accounts payable
Track purchase orders and payment process
Maintain, and track – parts, outside service, and building maintenance GL accounts
Provide Maintenance Manager with a weekly update of all GL accounts
Oversee tool crip and issue tools as needed
Contact and coordinate outside service for repairs, upgrades and training
Send out all oil samples
Coordinate all Fed Ex and UPS shipments
Maintain department administrative records
Personnel records – signed weekly work hours, extra monthly work hours
Vacation records
Training records
Operating permits
Planned Maintenance completed work orders
Copies of purchase orders
QUALIFICATIONS: Minimum Qualification/Requirements:
High School Diploma or equivalent.
2-3 years relevant work experience.
Familiar with inventory concepts and practices.
Must possess excellent skills in Microsoft Excel, Word, Access & PowerPoint.
Ability to analyze information and clearly identify key elements and patterns.
Ability to clearly articulate results, ideas, opinions, and information in a concise
manner in memos, reports, as well as verbally.
Ability to work well within a team. environment as well as independently.
Strong organization skills & attention to detail
