Market Administrator (Greenwich, CT)
This position provides administrative, supervisory and operational support to the Market Administration Manager. Duties can include assigned responsibilities in the areas of Compliance with policies and procedures, handling various HR related responsibilities within the branch which may include training and/or supervision of support staff, responsibility for on-boarding process, general administrative duties, facilities management, & financial administration. The position requires frequent personal and written contact with internal and external parties. Interface requires resourcefulness, tact and problem solving skills. Communications usually consist of an exchange and/or explanation of information requiring some advance preparation. Candidates must demonstrate excellent communication skills, interviewing skills, organizational skills, analytical skills working in a fast-paced environment. Must be highly customer service oriented with business partnering skills, and work effectively across organizational boundaries and with all levels of management.
Help oversee the various office duties including policy changes/updates/compliance, special projects, troubleshooting of technology and electronics issues, and supply maintenance. Assist in expense control and accounts payable management. Ensure new employees have required systems access and necessary passwords and IDs. Ensure new employees have necessary tools for BAI training; are continually upgraded and trained on new software. Assists Administrative Manager in fulfilling supervisory responsibilities as delegated. Analyze and approve trade adjustment/errors, view and balance error account daily. Principal trade pre-approval and review and approve new accounts and first trades. Review and resolve potential Registration exceptions. Review and approve outgoing Wires and Journals. Actively participate in Sales Meetings. Assist Sales Assistants, Financial Advisors and customers with inquiries, complaints, trades, etc. Provide technical support and ensure Sales Assistants are properly trained to support Financial Advisors and assist clients with high-level service. Ensure all order tickets are fully completed, received from spokes and satellites and filed according to compliance policy. Ensure Financial Advisors are licensed in all states where customers reside. Ensure branch operational procedures are in line with compliance policies and procedures. Key person during annual compliance inspections. If delegated, responsible for documented review of daily and/or monthly compliance reports. Reports include but not be limited to Daily Trade Blotter; Daily Insurance; Monthly Switch Report; Large Margin Report; Activity Report; Options Report.Review and analyze relevant reports, review all branch operational procedures, and handle resolution of complex operational issues. Maintain all OSJ records according to related standards. Assist in the resolution of account problems or operational issues. Coordinate annual IRA and maintenance fee notification letters, charges and waiver process. REQUIREMENTS
Required:
Series 7, Series 63 (or equivalent), 4, 24 and 53. Candidates must enter the position with a minimum of a Series 7 and 63 license and will be given a period of 9 months to acquire any remaining required licenses
3-5 years of administrative experience in the securities industry
Firm and brokerage industry procedures and regulations knowledge
Excellent verbal and written communication skills
Proficiency in Microsoft Office applications including Word and Excel
General office skills including clerical, organizational, and problem resolution
Individual should possess a thorough knowledge of administrative issues associated with compliance and registration
Desired:
Undergraduate degree is strongly desired
Basic expense analysis and planning experience
Knowledge of BAC and BAI policy, administration, and personnel are a plus
