Human Resource Administrative Assistant

Under the general direction and supervision of the Human Resources Manager, the Administrative Assistant, Human Resources, is responsible for duties within the Human Resources department related to clerical functions, confidential employee and applicant information, filing reports and coordinating employee benefits. Completes other assigned duties as directed by the Manager of Human Resources and Director of Human Resources.

MAJOR TASKS AND DUTIES:

1.Maintains and ensures accuracy of a computer based filing system.

2.Enters all new hire information into computer based filing system and forwards documents to Human Resource Clerk for processing.

3.Conducts new employee orientation.

4.Maintains list of eligible employees for all benefits and is responsible for updating data.

5.Communicates all benefit information to new hires and current employees as necessary.

6.Coordinates health insurance information and is the liaison between employees and insurance carrier with all claims questions and problems. Processes Cobra notifications within required deadlines.

7.Maintains a system for EEO reporting and completes annual EEO report.

8.Processes all change of status forms and ensures information is updated in database and forwarded to Payroll Department.

9.Processes all paperwork, upon approval by the Director of Human Resources and the Director of Finance, for Employee Educational Assistance and Conference Requests.

10.Records Perfect Attendance and Employee Referral Incentives and contacts Payroll Department with names to be paid.

11.Maintains employee corrective action database.

12.Completes and distribute employee anniversary benefit letters.

13.Completes monthly scorecard.

14.Provides switchboard relief.

15.Types correspondence and reports for the Human Resources Department.

16.Responsible to know and understand the rules and regulations in providing care. Responsible for participating and maintaining a safe workplace and attending annual mandatory safety training.

17.Maintains all Human Resources files and ensures their accuracy for any audits and certifications.
REQUIREMENTS
QUALIFICATIONS:

EDUCATION/TRAINING: High school graduate or business concentration. Previous experience with computers preferred.

EXPERIENCE: 1-2 years of office experience preferably in a human resources office. Must have previous experience in benefit administration, especially health insurance. Must have knowledge of Microsoft Word, Access, Windows, and Excel.

WORKING CONDITIONS: Normal work schedule is Monday-Friday, 7:30 A.M. to 4:00 P.M. May be required to work evenings and weekends as required by the Human Resource Manager. May have to travel occasionally. Must have valid driver’s license.
