GENERAL POSITION SUMMARY:
With limited supervision, provides administrative and secretarial support to the Human Resources staff and the PJM employees.
CHARACTERISTICS AND QUALIFICATIONS:

Required:
High School Diploma or equivalent.
5-8 years secretarial/administrative experience
Previous HR admin experience (benefits administration and recruitment)
Demonstrated ability to prioritize work and perform multiple tasks efficiently.
Excellent oral, written, proofreading and interpersonal communications skills.
Demonstrated proficiency in use of personal computers with emphasis on the MS-Word, Visio, Access, MS-Excel, PowerPoint and various software packages.
Demonstrated ability to interface with executives.
Demonstrated ability to work independently.
Experience with an enterprise wide information system – SAP preferred.
Experience with HRIS
Two years of HR Administrative experience directly supporting director/manager level.
Candidate must demonstrate ability to produce high-quality work products with attention to detail.
Ability to navigate effectively in a matrix environment.
Communication skill, oral and written, which demonstrate a professional, customer-focused approach to completing assignments and representing PJM in a positive manner.
Demonstrated exceptional customer service skills.
Preferred:
Completion of a secretarial training program from an accredited business institution.
Ability to create cover letters for internal and external correspondence.
Associates degree.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
With limited supervision, provides administrative and secretarial support to the Vice President Human Resources, HR managers and staff.
In order to enhance daily operation and efficiency, the HR Coordinator provides clerical and administrative support by directing the flow of administrative work including the creation and distribution of routine and non-routine correspondence, memoranda, agendas, minutes, forms, reports, tables, graphs, slides and proofreading of the same.
Examines and/or processes personnel action documents (P-Notify forms) using experience in applying HR procedures and policies. Ensures that information is complete and consistent and determines whether further discussion with applicants or employees is needed or whether personnel information must be checked against additional files or listings.
Selects appropriate precedents, rules, or procedures from a number of alternatives. Responds to varied questions from applicants, employees, or managers for readily available information that can be obtained from file material or manuals; responses require skill to secure cooperation in correcting improperly completed personnel documents or to explain regulations and procedures.
May provide information to managers on availability of applicants and status of hiring actions; may verify employment dates and places supplied on job applications; and may proctor skill-based employee screening tests.
Provides support for the Compensation and Benefits group with regard to Cobra administration and follow up clerical tasks. Assists consistently during the Open Enrollment period and provides support to HR employees as well as employees in attendance. Follow up with vendors and suppliers to update records and make changes as necessary. Assists with the processing of new employees as well as assists with the administration of new benefits.
Provides support regarding STD/FLSA administration and the tracking of Workers Compensation claims and information.
Partners with payroll to administer Cobra information and reconcile monthly Cobra intake payments. Handles invoices and provides follow up regarding retirees as required.
Provides support surrounding contact lists throughout the company as well as maintains HR hotline.
Completes routine assignments independently. Detailed guidance is available for situations that deviate from established precedents.
Gathers information and prepares reports.
Maintains and distributes as appropriate, current employee information, policy and procedure manuals and other communications. Updates new hire information, termination and changes in HRIS system as necessary.
May perform higher level duties involving employee communications, such as pre-employment screening, responding to routine questions on human resources policies and procedures, identifying potential issues and grievances, etc.
Update and maintain the company organization chart on a monthly basis
Administer the matching gifts program and corporate contributions.
Administer the anniversary awards and special compensation awards for PJM employee population in a timely and efficient fashion
Demonstrates proficiency in the use of automated tools including Reserve (In-house Conference Room Reservation System) and SAP.
Ability to multi-task, work independently and deliver exceptional customer service.
Reconciles P-Card billing records.
Maintains customer confidence and protects operations by keeping information confidential.
Maintains files and records according to a consistent filing system.
Performs other related administrative duties as assigned: filing, faxing, copying, etc.
