Facilities/Mailroom Clerk
Summary/Position Objectives:
This position maintains the organization and inventory of the supply room, as well as assigned duties associated with purchasing and receiving. Incumbent handles the distribution of all incoming and outgoing mail except claims mail. This position interacts with all levels of staff, and supports the functions of the facilities and purchasing department. This position is responsible for organized, stocked, and documented inventory, delegated purchasing and receiving, facility and equipment maintenance, and the coordination and distribution of incoming and outgoing company mail. Incumbent will provide backup courier and messenger services as needed.
Responsibilities:
Essential Functions:
Processes authorized office supply requisitions; prepare purchase orders; coordinates with vendors for accuracy and delivery; delivers received items to appropriate departments; confirms and reconciles invoices
Maintains inventory levels for office and facilities-related supplies pursuant to authorized levels, including printed materials, kitchen supplies, and equipment service needs; orders and replenishes standard and non-standard supplies as required in a timely manner to ensure the efficient operation of all departments
Ensures operational functionality and maintenance of designated office equipment, including photocopiers, fax machines, typewriters, postage machine, and scanning equipment; maintains monthly equipment and facility checklist; completes small repairs, as assigned coordinate large repairs with vendors in a timely manner
Completes asset tagging for required items;
Supports installation, relocation and/or realignment of office equipment
Sorts and distributes incoming mail according to procedures and schedule; processes daily outgoing mail, including: packaging, batching, ensuring appropriate levels of postage are used; serves as backup courier and messenger as needed
Secondary Functions:
Maintains professionalism, including phone etiquette, manners, appearance, and attitude
Works in a manner that is not disruptive to peers, supervisors and/or subordinates.
Maintains regular and acceptable attendance at such level as is determined in the employer’s sole discretion.
Maintains availability and willingness to work such days and hours as the employer determines are necessary or desirable to meet its business needs.

REQUIREMENTS
Knowledge and Skills:
Knowledge of postal regulations and requirements for outgoing mail. Ability to read and reasonably understand contracts and technical equipment maintenance instructions. Ability to define problems and create solutions within established timelines. Ability to multi-task and prioritize.
Education and Work Experience:
Minimum of 1 year of corporate mailroom/supply room experience. Basic knowledge of purchase and contract inventory and equipment service processes. Incumbent must possess a valid driver’s license and a reliable vehicle with appropriate auto insurance coverage.
