Under general supervision, responsible for processing purchasing requests received via direct phone, fax, or mail orders using the appropriate purchasing systems acting as the single point of contact for servicing a the account's customer base. Identifies customer needs and executes the appropriate solution as it relates to timeliness, delivery, and quality of the parts or services ordered. Sources and expedites orders to meet operation and organizational needs. Upholds and follows the standard set of policies and procedures for Strategic Procurement. Serves as a backup to other team members handling other commodities and customers. Handles the most complex and largest customer base.



PRINCIPAL DUTIES:

Follows Strategic Procurement policy and procedures, processes orders for materials, parts and services from preferred suppliers within pre-established timeframes and within appropriate cost parameters.

Provides timely feedback to internal customers on the status of orders, material and services availability, delivery expectation, or cost as required.

Identifies and analyzes the internal customer's need and urgency in order to arrange the optimal mode of shipment and delivery and ensures the order is received at the appropriate destination within the agreed timeframe.

Sources non-standard materials and services through preferred suppliers.

Assists supervisor or FMS Sr. Buyer in sourcing and negotiating appropriate pricing for non-preferred suppliers considering lowest cost options through volume discounts, extended payment terms, extended warranties, avoidance of minimum order quantities, etc.

Contacts suppliers to expedite orders or resolve discrepancies as needed. Recommends temporary or alternate solutions to material or service availability problems.

Enters part numbers and purchases into purchasing system. Inquires on-line to obtain order/item information.

Creates and audits daily reports to ensure proper payment of invoices.

Ensures all sources comply with Johnson Controls or the customer's payment terms and conditions and assists supervisor or FMS Sr. Buyer in building justification for exceptions.

Contacts suppliers to arrange for repair/replacement of damaged or defective parts, materials and tools.

Maintains library of reference manuals of third party purchased parts as well as Internet sites for sourcing of materials as requested.

Assists supervisor or FMS Sr. Buyer in maximizing customer usage of the preferred purchasing processes and tools in order to reduce purchases from non-contract suppliers.

Assists with training and mentoring other FMS Purchasing Specialists on work process and procedures.

Performs other duties as assigned.
REQUIREMENTS


Minimum of four years experience in a purchasing role or an Associates Degree in logistics and a minimum of two years previous purchasing experience. Strong customer service/satisfaction focus. Demonstrated knowledge of the facilities management industry and related materials including supplied parts and services. Interpersonal skills needed to positively interact with suppliers and internal customers. Ability to perform data entry and retrieval on computer and mainframe.
