Executive Assistant to the Publisher
Perform secretarial duties for the publisher’s office such as: (1) daily correspondence, filing and telephones; (2) prioritize and distribute mail; (3) coordinate and schedule meetings for all company, business and civic requests; (4) handle travel plans and schedules for the publisher and Operating Committee members, when needed; and (5) handle confidential matters related to personnel, Corporate payroll, etc.Supervisory responsibility for Secretary/Receptionist who coordinates daily functions for Administration and Editorial Departments.Act as liaison for the publisher with the C-J Operating Committee and managers, Corporate and Mid-South Newspaper Group.Assist in monitoring/planning of the Administration budget with VP/Finance and his Executive Assistant.Handle the CJ/Gannett Foundation requests, procedures, and allocation of funding.Coordinate arrangements and activities for The C-J Kentucky Derby Brunch for invited guests, major advertisers, state and local officials, and business/civic leaders (650 – 750 guests). Planning includes purchase and allocation of Derby tickets, selection of site, caterer and menu, hotel accommodations, travel arrangements, decorations, monitoring of expenses, etc.Coordinate arrangements and activities for special assignments and events such as management retreats (on-site and off-site), Gannett Corporate, Meetings, PGA Golf Tournament, Breeder’s Cup, Derby, etc.Handle company ticket purchases/allocation for special events, sporting events, the theatre and the arts.
Participate on company committees (i.e. Courier Comments, Service Awards) and volunteers for community activities applicable to The C-J.
REQUIREMENTS
High school graduate required. Two years of college or business education preferred.Minimum of five years experience as an executive assistant in upper management. General knowledge of The Courier-Journal or the newspaper industry and a good community awareness is helpful.Must have typing, WordPerfect/Word, Lotus/Excel, electronic year-to-date calendar, email, shorthand skills. Excellent oral and written communication skills (proper grammar, telephone manners, customer service) are essential. Must have flexibility in work schedule.
