Executive Assistant to SMD
Executive Assistant Essential Job Function: The Executive Assistant II provides a variety of secretarial support services to the senior executive. Such duties and responsibilities include generating correspondence and memorandum, answering of phones, processing mail, maintaining calendar, coordinating travel arrangement, acting as a liaison in coordinating requests with administrative areas i.e. human resources, facilities, MIS etc. Incumbents in this job may be responsible for generating and distributing reports and spreadsheets, regarding a variety of operational issues and may create multi-media materials to be used in presentations. Perform research projects analyze and summarize data.Responsibilities:
Perform secretarial duties including the processing of mail, filing, answering phones, photocopying, faxing, generating and distributing correspondence, memorandum, entering data, scheduling meetings and conference rooms, coordinating travel arrangements and maintains calendar.
Gather information and prepare a variety of operational reports, spreadsheets involving, such items as budget compliance, staffing levels, product/service productivity levels, the status of introducing new products or services. May prepare multi-media materials in association with presentations.
Represents Senior Executive in his/her absence by communicating and meeting with external clients, consultants, vendors, business partners, media representatives as well as community and political representatives.
Conducts research projects, identifies data sources, analyze and summarize findings.
Acts as a liaison in requesting assistance, following up with and resolving issues associated with administrative functions including human resources, facilities, purchasing and MIS.Preferred Skills/Education:
3 year’s related experience.
4-Year college degree (Bachelor or equivalent).
Sufficient fluency with standard business software, preferably Excel, Microsoft Word, Access, and PowerPoint to create and/or modify spread sheets, word processing documents, charts and graphs, and multi-media materials.
The ability and skills necessary to conduct research projects, analyze and summarize findings. Excellent communication skills (written and spoken) at a level required to appropriately communicate in behalf of senior management.
