Executive Assistant - operations

Currently, Kelly is looking for: Executive Assistant, Operations
Reports to: President, International Division / Executive Vice President
I. Overview:
Assistant for President, Vice President(s), Director(s) and Manager(s) of a fast paced, growing multinational manufacturing company.
II. Responsibilities:
1. Performs all Administrative duties including, but not limited to, typing, dictation, transcribing, filing and answering phones.
2. Keeps correspondence moving by emptying of outgoing mailboxes frequently and distributing incoming mail frequently for department. Sorting of mail based on level of priority. Use judgment to redirect mail to other staff members as appropriate.
3. Maintain daily, weekly, monthly calendars for President, Vice President and Director(s).
4. Handle routine correspondence, i.e.: faxes, memos, and letters. Independently composing / generating routing responses.
5. Preparation of travel itineraries and making/confirming of all necessary travel arrangements (hotel, flights, cars, etc.).
6. Scheduling and coordination of meetings (both internal and external). This includes the preparation of meeting agenda, compiling handout materials, arranging for audiovisual equipment, arranging for refreshments / lunches, as required.
7. Maintain files and computer databases, as required. Follows up on matter in progress to ensure that actions are completed.
8. Independently compiles data and statistical reports as requested.
9. Expense report preparation and submittal for President and Vice President.
10. Perform other directly related appropriate duties as assigned.
III. Requirements:
1. Education: Associate Degree in appropriate field.
2. Minimum of five-ten Years experience supporting top level executives in a fast paced (preferably international) business environment.
IV. Skills:
1. Computer Skills: Advanced knowledge of Microsoft Office (Word, Excel, Power Point) and Microsoft Outlook.
Must be well versed with the Excel program.
2. Excellent communication skills - oral and written.
3. Ability to prioritize and handle multiple tasks and large, complex projects.
4. Superior organizational abilities.
5. Self-starter with a high level of motivation.
6. Second language preferred.
V. Travel:
5% to locations in the US
