Primary duties involve providing executive level administrative support to Group Managing Director in addition to assisting approximately eight other individuals in the Global Business Development department. The ideal candidate will possess experience working on short and long term projects, travel coordination (domestic and international), and preparing agendas and materials related to meetings and conferences. Additional responsibilities include coordinating meetings and conference calls; customer service both internal and external; processing expense reports; preparing correspondence, including drafting communications on behalf of the executive; maintaining busy department calendar, tracking group attendance and providing telephone coverage both to the group and as backup to administrative team members. Requirements include a high school diploma or equivalent; five years or more experience in an executive administrative capacity, preferably in a busy, multi-professional environment; and advanced knowledge of MS Word, Excel and PowerPoint. Candidate must have the ability to work within a time-sensitive environment, be proactive, be able to handle confidential material, have high level of attention to detail, have the ability to problem solve and handle tasks with minimal supervision, and have excellent oral and written communication and interpersonal skills. Candidate must also have thorough knowledge of business English, grammar, spelling, and punctuation, the ability to learn new tasks and software as required; ability to establish and maintain effective working relations with supervising personnel, coworkers, and business professionals; ability to project a positive concerned image to clients and coworkers; and must understand the importance of trust, confidentiality, and accuracy.
