Executive Assistant / Financial Analyst
Purpose: Responsible for overseeing and managing the administrative functions of AgencyWorks in order to achieve business objectives and represent the best possible image and control. Responsible for supporting Vice President, maintaining positive employee relations and accurate accounting information.
Objectives:
"¢Work to create the best possible working attitude within the department.
"¢Stay in tune with the overall vision of the company and help the department contribute to company goals.
"¢Receive assignments in the form of objectives and establish goals to meet those objectives.
"¢Exercise judgment within defined procedures and practices to determine appropriate action to meet goals.
"¢Have a good understanding of company products, functions and policies.
Essential Functions:
"¢Executive Assistant to the Vice President.
"¢Works with Vice President to establish business objectives related to administrative department. Manages resources to attain business objectives.
"¢Manages functions of office management, including office furniture and fixtures.
"¢Manages functions of all financial work for AgencyWorks Division. Works closely with BISYS. Prepares monthly financial statements and reports for Managers.
"¢Works as an HR liaison for Agencyworks and BISYS HR, including direction of division policies and procedures & employee information, job descriptions and review processes.
"¢Organizes and oversees monthly staff meetings
"¢Updates assigned business and financial reports as assigned.
"¢Develops and refines procedures to ensure the best possible workflow. Creates related documentation
"¢Manages the accounts receivable function for the finance department, invoice archival, and petty cash.
"¢Coordinates and budgets in-house human resource functions, including regular company-provided functions, birthday and anniversary recognition, employee appreciation rewards, special functions, and others as assigned.
"¢Coordinates marketing functions, including user group meeting, trade show preparation, and trade show registration.
"¢Assists other AgencyWorks Managers in executive administration and other secretarial duties as requested.
"¢Shares responsibility for:
ï,§Managing and maintaining common areas of office by keeping areas clean, organized, and stocked with supplies;
ï,§Ordering of office supplies for staff.
ï,§Receives sorts and forwards incoming mail. Coordinates the pick-up and delivery of express mail service (FedEx, UPS, etc.) Packages, meters, and takes outgoing mail to the Post Office or other pickup point.
"¢Performs other job-related duties and responsibilities as may be assigned from time to time.
REQUIREMENTS
Required Qualifications:
"¢At least five years experience in office management and executive assisting
"¢Proficient with Microsoft Office
"¢Working knowledge of accounting and human resource functions.
"¢Proven project management skills.
"¢Ability to communicate effectively and interface well with management, and internal and external clients.
