Executive Assistant - Downtown DC - $45-50k/yr
KellyDirect has partnered with a large foundation to assist in finding a high level Administrative/Executive Assistants to support their Educational Department in the D.C. office.
Administrative/Executive Assistants support senior members of the program and policy teams, providing a wide range of administrative and organizational support. The Administrative/Executive Assistant is a critical team member, whose focus is to provide a high level of support to executives and ensure the smooth operations of the team.

Qualifications:
'A minimum of 3-8 years administrative experience, preferably in a complex and fast-paced organization, interacting intensively with internal and external contacts.
'Experience setting priorities and meeting deadlines while balancing the needs of providing support for multiple individuals, including calendar management, travel arrangements, and event planning coordination.
'Excellent oral and written communication skills in an environment requiring diplomacy and good judgment in managing interactions with individuals at all levels inside and outside an organization.
'Demonstrated effectiveness meeting deadlines in a role requiring continual attention to detail in composing, typing and proofing materials.
'Experience establishing organizational systems to improve efficiency and functioning in a changing environment.
'Demonstrated experience using and proficiency with MSWord, Outlook, Excel, Access and PowerPoint is required.
'A BA or BS degree is preferred.
Responsibilities:
'Scheduling high volume of domestic and international appointments and meetings, managing complex calendars, and coordinating travel arrangements and out-of-town meetings.
'Acting as liaison with internal and external partners, grantees, government officials and consultants, answering and prioritizing telephone calls, email and mail communications.
'Compiling and processing expense reports, reimbursements, and check requests, accurately and timely.
'Maintaining an organized system of tracking, monitoring and prioritizing tasks and projects.
'Supports the execution of contracts with vendors and consultants.
'Creating, updating and/or maintaining organized files and records.
'Assisting in scheduling and planning for events, such as meetings, conferences, presentations, and dinners, which may include coordinating arrangements for participants, handling logistics, preparing and disseminating materials.
'Assisting out-of-town guests with logistics and meeting and greeting guests as needed.
'Coordinating budget monitoring and reporting.
'Drafting and/or editing correspondence, such as letters, memos, emails, and PowerPoint presentations.
