Document Controls Clerk
POSITION OVERVIEW:Coordinates the flow of technical documents (requisitions, data books, drawings, specifications, calculations) between project operations, engineering disciplines, and other related support groups. Incumbent is typically responsible for a large project. Prior document control experience on engineering projects enables the incumbent to handle all aspects of engineering document coordination from beginning to end of a project.SPECIFIC RESPONSIBILITIES:Coordinates the flow of all project documents (including but not limited to correspondence, requisitions, data books, drawings, specifications, calculations) between client, project operations, engineering disciplines, and other related support groups. Incumbent is typically responsible for a large project. Prior document control experience on engineering projects enables the incumbent to handle all aspects of project document coordination from beginning to end of a project. Performance of document management duties will be conducted utilizing internal systems and tools plus third-party software such as Primavera 5.0 and ImageTool.Additional responsibilities include:
Serves as the document management leader, providing technical guidance to all personnel assigned to the project. Reviews work produced to ensure timely and accurate results. Completes performance evaluations for any personnel supporting this function. Some of the project personnel may be located in other offices or field sites.
Ensures that pre-established document management requirements are satisfactorily met throughout the duration of the project.
Maintains an established data distribution system and schedule for the assigned project based upon client, project, and supplier requirements. May revise system or schedule as required to ensure timely approvals and distribution.
Expedites review, signature approval, and release of supplier and internally produced project documents.
Establishes and maintains files and computerized indexes for all documents. Generates electronic/hardcopy reports as needed by the project or management.
Assists in preparing a ''mock up'' for operations manuals (e.g., develops the index, binders, dividers, etc., and ensures timely printing and assembly) and/or job data books (pulls drawings and documents, develops index, cover sheet, dividers, etc., ensures timely reproduction and assembly).
Assists in preparing the project manual. Determines from the client what is required; collects the necessary data; oversees preparation of covers, tabs, etc.; secures approval from the client; and ensures reproduction and assembly in a timely manner.
Prepares transmittals for engineering documents and requisitions.
Arranges document cataloging, packing, and long-term storage or disposal of appropriate engineering documents at time of project closeout.
Attends project meetings, as needed, to give status of requisitions or other documents and to be kept current on project status.
Performs other responsibilities associated with this position as may be appropriate.PREFERRED EDUCATION/EXPERIENCE: High school diploma (or equivalent). College degree preferred.
10+ years of relevant work experience, including 5-8 years of prior document management experience on an engineering project.SKILLS/COMPETENCIES:
Requires proficient keyboard skills and a working knowledge of MS Windows and related word processing, spreadsheet, and database software. Some assignments may require a working knowledge of EDMS (Electronic Document Management System) and DMCS (Document and Material Control System), as well as a working knowledge of CAD operations. Experience with Expedition, Primavera 5.0, and ImageTool preferred.Requires an understanding of how to code and process project documents including correspondence, drawings, and other technical engineering documents.Requires working in Parsons' Albany (Ft. Edwards area), NY project location.
