DESCRIPTION: BRIEF OVERVIEW OF POSITION/UNIT
This position provides administrative support to the Managing Director of Product Development for this financial firms retail businesses, and the team as whole. The Product Development Team is responsible for performance reporting, new product development, including research and business strategy, and implementation of new ideas to support the growth of the firms US and Non US retail businesses which today represent over $125 billion in assets under management. The retail product set includes mutual funds domiciled in the US and several major markets outside the US. This firm has retail sales teams and clients of our retail offerings around the globe. They work closely with heads of the sales teams, business development teams and every functional area of the firm. This team is also responsible for relationship management with our retail Mutual Fund Board. The Managing Director has 4 direct reports and an overall team of 7 including Product Development Analysts, and Performance Analysts.
RESPONSIBILITIES: OUTLINE SPECIFIC FUNCTIONS, ETC.
"Manage very active calendar
"Set up regular and ad hoc meetings, conference calls (both US and International) which will include members of many and various cross functional teams from around the globe.
"Must work efficiently and effectively with members of our team, and colleagues from other departments. Will frequently interact with senior and executive management, Directors of our mutual fund boards, to schedule, confirm, and facilitate the meetings we schedule.
"Must be able to capably handle manager's calendar - both in terms of availability to join meetings scheduled by others, as well as to handle changes that will take place when priority issues arise.
"Keep manager apprised throughout the day of changes in calendar to assure she stays on track with what was planned and what is updated.
"Create and maintain calendars for group vacation, weeklies and one-on-one with each direct report.
"On a regular basis, review calendar ahead for manager and team in order to anticipate needs for Product Development Team and plan and act accordingly.
"Maintain a running to-do list of outstanding projects and tasks. Updates to manager are to be done on a daily to apprise her of progress or issues to resolve.
"Arrange business travel - both US and International for the team.
"Process expense reports for the team.
"Create spreadsheets and power point presentations that are used in business recommendations to executive management.
"Collaborate with broader Fund Investors Group department on interim coverage and support needs and to support sharing of best practices.
"Need to quickly come up to speed with internal systems: firm intranet, expense report system, and timekeeping system.
REQUIREMENTS
Education
Undergraduate degree preferred.
Required experienceMinimum 5 years in a similar position (i.e. asset management firm)
Required skills:
Highly organized. Strong time management skills. Proactive. Team player. Solid interpersonal and communication skills. Candidate will work with other assistants and field calls from the most senior levels of the firm, Board Directors, external clients and vendors.
