Contract Administrator

1. Responsible for first-line review of all contracts and/or contract modification sent in by the Regions or a Customer. Responsible for communicating necessary changes to those contracts as well as negotiating contract terms and conditions that are favorable to company's and in accordance with company's contracting requirements. Responsible for preparing bids and negotiating specifications and contractual provisions.

2. Work with each of the Regions as initial contracts contact. Answer contracts-related questions and provide Regions with contractual information enabling Regions to continue work on existing contracts or obtain new contracts.

3. Responsible for managing contract execution by company – locate PAF, approved proposal, and work plan and make sure they all match the approved contract and then get CFO or other officer to sign the contract.

4. Work with Region Business Analysts (RBAs) and Region personnel in collecting required material for contract file (i.e. job#’s, PSS forms, work plans, signed contracts) and maintain contract files according to Corporation’s contract procedures and ISO standards.

5. Responsible for maintaining the Contracts intranet site. Work with IT to make sure all appropriate Region and Corporate personnel has access to the Contracts website. Update Contracts website with contractual information (including scanning and posting the contracts themselves) used by corporate and regional personnel to effectively perform their jobs.

6. Work with CFO to update and post new and revised company's boilerplate agreements for regional personnel according to ISO standards. Lead contact for department for annual ISO audit, including maintaining ISO procedures and work instructions for Contracts Department.

7. Responsible for ordering all insurance certificates and bonds. Primary contact with insurance and bonding companies and responsible for unique request pertaining to an existing or future contract pertaining to insurance or bonding.

8. Research contractual information for entry into Costpoint.

9. Maintain files of and help RBA’s and Regions apply for, obtain, and renew business/privilege and state contractors’ licenses.

10. Responsible for generating and distributing weekly and monthly reports for all newly signed contracts and contract modifications (where there is a change in revenue) to Senior Management.

11. Complete special assignments when needed.
REQUIREMENTS
EDUCATION/EXPERIENCE –

BS degree required with five or more years experience in contract administration, preferably in a municipal and/or engineering services environment.

Costpoint experience.
