Compensation and Benefits Executive Assistant

Executive Assistant, Compensation and Benefits


MAJOR DUTIES:

Compensation and Benefits Executive Assistant provides support to the VP of Global HR Operations and managers of the Compensation and Benefits department.


PRIMARY DUTIES:

The work required includes but is not limited to:

-Incentive Plan documentation; Negotiation support assistance--queries, populating modeling tools, pulling documentation for special requests, side-by-side comparisons of benefits; implementation assistance for new vendors--compile and summarize RFP results

-Prepare first drafts of various Surveys for Manager review

-Preparation of quarterly report to measure Compensation function through pulling data for queries/pivot tables; charts and analysis

-Benefits Scorecard data gathering; survey locations on wellness initiatives; run ad hoc vendor reports

-Maintenance of Corporate Benefits and Compensation Quickplace sites

-Build and maintain Access database or similar tool for capturing negotiated benefits changes and manage online storage of SPDs

-Manage mail and faxes

-Coordinate set-up of large meetings

-Review communications and file requests

-Manage P-card transactions (order supplies) and invoices for payment

-Create and manage department project and vacation calendars, year-end Compensation calendar

-Special projects as needed


EDUCATION:
A.S. degree preferred.


WORK EXPERIENCE:
A minimum of 5 years of experience with direct administrative support to individuals at the executive level. Experience in the HR, Compensation and Benefits area strongly preferred.


SKILLS/KNOWLEDGE:


Successful candidates will the following abilities:


-Advanced skills in MS applications: Excel, Word, PowerPoint and Access

-Strong attention to detail

-Ability to handle confidential documents/materials

-Strong written and oral communication skills

-Evaluate a situation and identify existing problems or opportunities

-Anticipate customers' needs and respond quickly, accurately and pleasantly

-Organize data and resources to ensure ease of access and analysis

-Seek to identify and eliminate root causes of quality problems

-Work reliably to achieve team goals

-Overcome multiple obstacles in order to meet an objective
