Chartered in 1746, and known as the College of New Jersey until 1896, it was British North America's fourth college.Position Summary: Provide high-level administrative support to Princeton Center for Theoretical Physics (PCTP) Director, Asst. Director, Fellows and Post-Docs. Administrative duties entail maintenance of all calendars and contacts for very busy faculty members, and several post-docs; make complex travel arrangements and itineraries; make all reservations and coordinates multiple visitors to the Center, (including potential postdocs); organize meetings with various groups from on and off campus; process travel reimbursements; maintain correspondence by drafting customized letters; track reference letters with multiple deadlines; answer phones and places multiple calls; maintain records and files; maintain and update faculty CVs. Additional responsibilities include:
Serve as the first point of contact for the Center to include meet/greet of visitors and respond to inquiries via mail, email, telephone, or fax.
Electronic posting of notices.
Perform Internet Research.
Assist in organizing information required for narrative and budget sections of research support grant proposals including edit copy & incorporate graphic and reference information into MS word text of proposal, reports, and similar documents.
Interface with Physics Departmental Grants Manager and assist with reconciliation of PCTP project/grant monthly statements against expenditures, electronic interdepartmental invoices, etc.
Perform VISA credit card online reconciliation daily, generate reports and prepare white invoices.
Review/reconcile monthly expense statements as generated from the central data archives and Physics Department Business Manager.
Assist members of PCTP with planning and support for special symposia, retreats, and workshops.Job Function: Office or Library SupportGrade: BOS 030Standard Hours: 21.75Eligible for Overtime: YesJob Requirements
Essential Qualifications: This position requires an Associates degree in business administration or equivalent experience and at least 6 years of relevant work experience. This position requires excellent judgment and communication skills. The ability to professionally interact with individuals at all levels within and outside the University is essential. Must be able to handle multiple projects simultaneously and maintain a high standard of confidentiality. Must be proficient in the use of web browsers, Microsoft Word, Excel and Outlook; as well as the ability to learn and use the University's suite of administrative applications such as the DataMall, People Soft Financials, etc. Strong attention to detail and the ability to work accurately under tight deadlines required.Education Required: Associate's Degree
