Provide administrative support for the Billing & Commission department of approximately 75 individuals, including multiple levels of management and team members.
Administrative Support for Management and Team Members
Manage calendars/meetings
Create/edit presentations
Assist with spreadsheets
Coordinate travel
Answer phones
General Office Support
Maintain office equipment and department PC usage, upgrades, distribution and set-ups
Order and maintain supply inventory
Handle department mail
Human Resource Related Activities
Manage Ceridian Star program for department
Maintain department organization chart
Manage department vacation calendar
Responsible for new employee set-ups, including phone, PC, etc.
Provide space planning assistance
Expense Management
Manage P.O. accounts for contractors and outside vendors
Process department vendor invoices
Submit and manage expense reports
Billing Support
Maintain Invoicing Admin e-mail box
Mail manual invoices
Handle returned mailed invoices
Assistance for Revenue Accounting group
Maintain client contract files
Update and maintain revenue recognition training records
Provide Web-Ex set up assistance for training sessions
Populate and maintain the department website on the corporate intranet
Plan offsite team events

Qualifications:
High school diploma; bachelorâ??s degree desirable.
Minimum of five years of high-level administrative experience; experience with working with a large team and working in a finance function preferred.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook); experience with Oracle Financials is desirable.
Excellent verbal and written communication skills.
Strong organization, relationship building and interaction skills.
Ability to work with minimal work direction while juggling multiple priorities and changing demands.
