BCM Project Management Office Lead

UBS is a leading global financial services firm. Our Investment Bank is one of the world’s top global investment banking and securities firms, providing a full spectrum of products to institutional and corporate clients, intermediaries, government and hedge funds worldwide.Within the Investment Bank, IT Production BCM is responsible for the management of Business Continuity for the Bank’s Infrastructure, with three major functions: Strategy, Testing, and Change. The PMO Lead is part of the Change function. Infrastructure business continuity issues and gaps arise from testing, operational experience, assessments, and strategic investment decisions. The PMO manages these issues throughout their lifecycle, from identification through prioritization, funding, remediation, and confirmation of closure. Depending on the nature of the issue, closure may be the responsibility of an existing function in Investment Bank IT or the ITI Infrastructure organization, may be directed to an existing funded change programme with the appropriate approvals, or may result in the initiation of a new programme. The PMO is responsible for proactively ensuring that all issues have identified owners, agreed priority, and that appropriate progress is being made against targets. The PMO reports within IT but is a part of the Investment Bank’s overall Business Continuity programme which reports into the office of the Chief Operating Officer. The PMO Lead also acts as the secretariat function for the Global Infrastructure Business Continuity Committee (GBIC), which plays a key role in the management of BCM issues and strategy.The PMO is responsible for proactively ensuring that all issues have identified owners, agreed priority, agreed remediation dates, and that appropriate progress is being made against targets.Specific responsibilities include: Track and manage all issues arising from tests, incident post-mortems, and capabilities reviews. Function as the secretariat for the Global Business Continuity Infrastructure Committee Prepare reports for various regional and global governance bodies Proactively ensure progress is being made and resolve issues or escalate as needed. Interface with the business streams, project sponsors, and other clients and the display of strong communication and diplomacy skills Ensuring that all of the required processes have been followed and approvals gained Understanding the implementation requirements and dependencies Identifying the resources required to complete the implementation phases and, in some instances, building a 'virtual team' Working with project managers, programme managers, and other PMO staff to align efforts and identify resourcing issues. Managing the expectations of all involved and developing a strong communications plan Actively participate in and provide support of all full project life cycle activities, including determining needs and feasibility, project plan development & controlling, establishing deliverables specifications, creating deliverables and testing and implementing deliverables Development, writing, and delivery of project documentation and reports and the maintenance of project files and records Gathering data for conducting analysis and documenting workflow, process and technical requirements Assisting in project definition, strategy and implementation planning, execution and control thru closeout The successful candidate can also expect to provide Project Management around initiatives within the team and contributing to best practices by defining and implementing new processes and standards aligned with ITIL and other recognised standards Remain familiar with and apply best practice and process standards as defined within UBS, and champion and mentor project managers and Where processes and standards exist already, review with a view to making improvements as applicablePreferred Qualifications: Graduate Education desirable Distributed Computing Experience strongly desirable; may waive for exceptional candidate Project Management or PMO accreditation desirable ITIL background desirable Business Continuity experience strongly desirable; certification not required. Infrequent travel to alternative UBS locations may be required, but is not a major feature of this role Being able to demonstrate structured Project Management skills is essential Ability to work across organizational lines and effectively use influence networks is essential Have excellent written and verbal communications skills and be confident in communicating with both Business and IT personnel at all levels Possess significant ambition, drive and commitment and be able to deliver with minimal supervision Microsoft Project Understanding of Distributed Computing technology and concepts Core Office suite with particular proficiency in Excel and PowerPoint Have excellent written and verbal communications skills and be confident in communicating with both Business and IT personnel at all levels Have the ability to resolve and manage any team conflicts Have the ability to assess project status and understand how and when to escalate project issues to clients, sponsors, or stakeholdersIf you are attracted to joining an organization where every individual’s contribution counts and where your talent will impact on our future, please apply for this position.
