Associate, Administrative Support

Supports VP, and department manager with memos, correspondence, reports, and various routine forms from rough draft, and makes changes in grammar, punctuation, or spelling as needed. Composes letters, memos and or emails as necessary.
Maintains calendars, schedules appointments and meetings for management.
Maintains files, reports, records, reference sources, and polices and procedures.
Delegates or assists with work overflow within the department.
Assist with Human Resource issues (i.e. new hires, temporary staffing. Maintains presentation equipment, projector, laptop, etc. for meetings.
Assists in maintaining purchasing contractual agreements (database and files) to assure accurate and timely updates for maximum contractual benefits.
Interact with vendors and other customers to obtain or relay needed information.
Maintains and promotes a positive customer service attitude in all interactions with fellow employees and department’s public.
Covers phones for department overflow.
Orders all department materials/supplies.
Handles travel arrangements and reimbursement of expenses.
Scans and links all requisitions, confirmations, returns, and repairs in Image Now system.
Sorts and distributes incoming mail to department.
Takes meeting minutes.
New Technology process. Inputs forms from medical representatives and physicians into the Health Alliance web site. Maintains files for this initiative.
REQUIREMENTS
Required Skills
Language Skills: Ability to read and comprehend instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively communicate and exchange information to others. Utilizes clear communication methodologies including listening and comprehension skills to interact with customers and colleagues.
Computer skills: Knowledge of Microsoft Word, Excel, Microsoft windows, internet explorer, Microsoft power point, Microsoft publisher, Microsoft frontpage, Groupwise, crystal, Lawson.
Mathematical skills: Ability to add, subtract, multiply, and divide, using whole numbers and decimals.
Reasoning Ability: Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions
Organization skills: Ability to manage, prioritize, and complete multiple projects and assignments while meeting required deadlines.
Required Experience and Education
3-5 years administrative experience
High School diploma, college degree preferred.
