Assistant Dean for Administration
Purpose of the position:
The Assistant Dean for Administration has significant day-to-day administrative responsibility for GSE and is responsible for the overall effectiveness of GSE Staff Teams - licensure, degree and certificate/continuing studies. The Assistant Dean has primary responsibility for GSE’s financial and budget management and has significant responsibility for achieving the financial goals established in consultation with the GSE dean, GSE directors and with the university. In absence of the Dean, the Assistant Dean has administrative authority for non-academic issues.
REQUIREMENTS
Accountabilities:
Budget and Finance:
* Develop and provide realistic financial projections including budget models for the dean and program directors and assist in establishing realistic budget goals.
* Prepare GSE budgets in collaboration with program directors to meet those financial goals.
* Assume direct responsibility as budget manager for Dean’s office budget and oversight responsibility for all other budgets in GSE.
* Train, advise, assist, and provide oversight for all GSE budget managers.
* Monitor all GSE budgets and financial reports and make modifications as necessary.
* Process requisitions, purchase orders, travel and expense reports, and invoices for the Dean’s Office.
* GSE liaison to university finance and accounting offices.
Human Resources/Payroll:
* GSE liaison to human resources and payroll offices.
* Process all new hires, notice of vacancy, and salary/title change paperwork; manage announcements of staff vacancies and prepare annual contract letters for faculty.
* Supervise the Deans’ Office program assistant and program coordinator.
* Monitor and distribute labor distribution report and make adjustments as necessary.
* Liaison role to all GSE adjunct faculty related to their employment and necessary services.
Administration:
* GSE representative to Administrative Cabinet, and a member of all GSE Teams.
* Facilitate the connection between Grad Enrollment Management and GSE programs.
* GSE liaison to University administrative offices including graduate enrollment management, accpunting, human resources, safety and security, and planning and information systems.
* GSE oversight responsibility for major work done in GSE offices (remodeling, renovation, etc.) as well as for GSE capital purchases (computers, furniture, etc.) and general facilities management.
* Supervise GSE communications with University facilities and resources offices, including Physical Plant, Heating Plant, Telecommunications, Tech Resource Center, ABM, and IKON.
* Link information learned through the GSE liaison role with other parts of the university to the GSE staff thereby creating the conditions for stability and productivity of the GSE staff.
Program Development:
* Collaborate with the AVP of Grad Enrollment Management, GSE Program Directors and the GSE Dean on proposals for new programs to create new streams of revenue and/or enhance the visibility and reputation of GSE.
* Manage new program budgets to meet financial goals set in consultation with GSE dean and with the University.

Qualifications:
Required:
* Masters degree in Higher Education or a related field.
* Five years experience in higher education.
* Familiarity with teacher education and the P-12 system.
* Accounting knowledge and experience required, including proficiency with Excel.
* Supervisory experience.
Preferred:
* Knowledge of Banner or other administrative software.
* Experience working with ‘teams’ structure.
