Administrive Assistant
The International Assn of Forensic Nurses is a membership organization formed exclusively to develop, promote, and disseminate information about the science of forensic nursing internationally. IAFN has over 2600 members across the world and has an immediate opening for a full-time Administrative Assistant in its small Arnold office.
The position requires a high energy, versatile and self-directed person with the ability to multi-task, prioritize and handle diverse details. This person must be able to function well under pressure and have excellent customer/member service skills. Daily activities include responding to member emails and phone calls, data processing and general office support. Candidates familiar with grant funding is a plus.

Job Duties
1.Provide administrative and secretarial support. Provide for overall office organization and management of association records and create office systems.
2.Ability to draft correspondence for association meeting announcements, taking of meeting minutes and other written communications as requested by ED.
3.Provide event planning assistance for meetings and special programs; to include scheduling, drafting event flyers, registering members and guests for events, printing nametags and tent cards and assisting the ED with preparation of other meeting materials.
4.Answer telephone and serves as a receptionist.
5.Transcribe, collate, copy and file correspondence, reports, charts, minutes and other documents as required and prepare appropriate associated files.
6.Prepare invoices to members for products purchased. Prepare and gather materials for shipping.
7.Process and track the Journal of Forensic Nursing subscriptions.
8.Open and close the office.
9.Assist the ED in accounts receivable and payables, plus other bookkeeping duties as assigned. Assist the Executive Director with submission of expense reports and verifying charges.
10.Respond to items on own initiative.
11.Schedule committee meetings, conference calls, track agenda items and prepare minutes. Keep calendars up-to-date and prepare appropriate meeting files.
12.Distribute interoffice and external mail. Respond to correspondence when appropriate. Answer, screen and direct phone calls. Bring priority items to ED’s attention.
13.Provide assistance to the SAFE TA Coordinator on various grant projects.
14.Ability to maintain confidentiality of various projects, correspondence and other written or oral items as needed.
15.Some travel may be required to support ED and Board at out of area meetings. Some early morning and evening events may also be required.
16.Other duties as assigned.
REQUIREMENTS
1.Understanding of association management cycles and nuances is helpful.
2.Proficiency in the following software: Microsoft Word, Excel, Outlook, PowerPoint, Access and Explorer, with ability to research on the Internet, create and maintain Access database. Knowledge of QuickBooks helpful as well.
3.Adept at navigating around technology and willing to learn new software as required
4.Ability to use: telephones, personal computers, printers, copy machines, fax machines and calculator.
5.Ability to attend seminars and off-site meetings, including air travel and/or driving oneself.
6.Ability to work extended hours as necessary.
7.Work efficiently and effectively under pressure
8.Establish and maintain cooperative relationships with those contacted in the course of work.
9.Prepare reports and correspondence independently.
10.Type accurately and efficiently.
11.Good oral and written communication skills.
12.Ability to lift and carry up to 25 pounds in order to periodically move materials and set up for meetings, etc.
