Receptionist/Office Administrator MAIN PURPOSE: Provide administrative and office support to assigned department. KEY DUTIES & RESPONSIBILITIES: Greet internal and external customers. Ensure compliance with established security procedures, including visitor and vendor sign-in. Provide parking validations. Direct incoming telephone calls. Update phone lists. Set up conference calls. Provide general administrative assistance to department staff, e.g. copying, collating, and stapling, send and receive faxes, print and attach documents to files, maintain attendance records, process expense reports, proofreading, make travel arrangements, as well as projects, presentations and related tasks. Coordinate and monitor yearly off-site destruction/purge of files with storage vendor. Purge files according to established purge schedule, and/or as needed. Box and index files for off site storage. Operate and maintain postage meter machine; prepare outgoing mail; distribute incoming mail as needed, process all overnight shipping. REQUIRED EDUCATION/TRAINING & EXPERIENCE: High School Diploma or equivalent. Excellent written and verbal communication skills, including demonstrated ability to communicate in a clear, concise manner. Demonstrated knowledge of general office practices and procedures. Strong skills with computer software, including Excel and Word.
