Administrative Assistant-Operations and Business Development
Administrative Assistant - General Growth Properties has an immediate need for an Administrative Assistant - Operations and Business Development located in St Louis Galleria, MO.
General Growth Properties is a publicly traded Real Estate Investment Trust ("REIT") and is listed on the New York Stock Exchange under ticker symbol GGP. The second largest regional mall REIT, General Growth owns, develops, operates, and/or manages shopping malls in 44 states. As of March, 2004, GGP had ownership interests in and/or management responsibility for more than 200 regional shopping malls totaling more than 200 million square feet of retail space. GGP also has the distinction of being the largest third-party manager for owners of regional malls. Headquartered in Chicago, Illinois, GGP has more than 5,000 employees nationwide. Our malls feature more than 24,000 retail stores and anchor department stores, as well as theaters, sit-down restaurants, ice skating rinks and other forms of family entertainment.
Administrative Assistant provides primary administrative support for Operations and Business Development.
Administrative Assistant provides administrative support as necessary and appropriates to the Operations Manager, marketing Manager and other employees.
Administrative Assistant backs-up receptionist duties including answering telephones and greeting visitors.
Administrative Assistant is responsible for office management including copier & fax maintenance and repair, postage meter, telephone system, business cards, letterhead, etc.
Administrative Assistant maintains tenant and vendor insurance certificate files and issue requests for certificates of insurance.
Administrative Assistant inputs payables into accounting system and expense allowances as directed.
Administrative Assistant accesses accounting records and produces reports as requested or directed.
Administrative Assistant assembles and prepares adequate supply of Lease Information Packets as requested.
Administrative Assistant administers completion of all items on New Tenant Checklist for all new retailers.
Administrative Assistant prepares and/or distributes the following documents as directed or required:
Monthly Management Report
Quarterly employee attendance reports
Administrative Assistant is responsible for maintaining and updating employee attendance, keeping track of time off and time available.
Administrative Assistant is responsible for coordinating computer service, requests and repairs with IS department and vendors.
Administrative Assistant maintains personnel records for all on-site employees.
Administrative Assistant coordinates and updates employee forms including completion of new hire forms.
Administrative Assistant distributes new employee procedures to all mall management personnel and administers compliance with procedures.
Administrative Assistant administers personnel insurance enrollment, changes, forms, as necessary.
Administrative Assistant maintains Petty Cash funds and prepare monthly reconciliation.
Administrative Assistant maintains organized filing.
Administrative Assistant is responsible for all other duties as assigned.
REQUIREMENTS
REQUIRED
High school diploma or equivalent with three (3) to five (5) years secretarial experience in a fast-paced environment.
Accurate keyboard skills and experience with various office equipment/machines, computer literate with knowledge of Microsoft Word or Word Perfect, word processing and Microsoft Excel or Microsoft Outlook.
General knowledge of bookkeeping and math abilities required.
Effective organizational and time management skills.
Pro-active and results oriented.
Professional appearance and attitude.
Ability to deal with multiple tasks effectively and establish priorities.
