Administrative Assistant, Media Services
Taco Bell’s Media Services department in Irvine, CA is looking for an Administrative Assistant to join their team! This position will exclusively support 1 Vice President, 1 Director and 1 Manager and their work group as needed.The ideal candidate will be a high energy individual who is self directed and able to easily handle multiple and changing priorities. Strong computer and communication skills are required. Responsibilities to include executive administrative work, such as coordinating daily meeting schedules and managing a demanding calendar, travel coordination, with additional responsibility for meeting and offsite planning, coordinating and polishing executive presentations, managing office supplies reconciling overhead budget per period. Highest level of confidentiality due to information sensitivity is a must.Core Responsibilities:Time-manage Vice President by continuously tracking, anticipating, prioritizing, and owning the extremely heavy calendars
Orchestrate and manage the multiple department, vendor, and cross-functional team meetings and conference calls
Prepare and reconcile Media Services budget reports per period
Team with other Administrative Assistants members in and out of the department to:
Prepare and orchestrate corporate-level meetings, monthly department meetings and offsitesManage workload, office supplies, calendars
increase efficiencies and beat year-ago mentality
Travel coordination

REQUIREMENTS
•Must have 3+ years administrative experience.
•Knowledge and mastery of Powerpoint is a plus. Knowledge of Word, Outlook and Excel are a must.
•Strong verbal and written communication skills. Strong interpersonal and advanced organizational skills. Self-direction is a must.
•Ability to manage highly visible Executive-level projects including: backward planning, prioritization, information management, and problem solving. Highest level of confidentiality due to information sensitivity is a must.
•Ability to multi-task efficiently in a fast-paced, high volume, constantly changing environment with minimum direction and under very tight deadlines
•Ability to anticipate, prioritize, and meet the need of the Vice President, Director, Manager and their team - demonstrating Customer Mania
•Professional demeanor
