General Position Responsibilities
Provide administrative support for Partner(s), Director(s) and other client service professionals as assigned. Perform standard duties of an Administrative Assistant as well as diversified functions which require the knowledge of advanced level office procedures and business practices. Hours are from 9:00am to 6:00pm with flexibility for overtime.
Specific Responsibilities
- Ability to handle sensitive and confidential information with maximum discretion.
- Interact effectively with key executives, senior management, peer group and internal/external clients.
- Schedule meetings, organize and maintain executive
and group calendars, understand challenges and manage/reschedule priorities effectively.
- Screen and transcribe voicemail and email messages as well as other business correspondence.
- Manage incoming calls and provide assistance and obtain accurate information.
- Compose memos, letters, emails and other correspondence with little or no guidance.
- Prepare request for payment and process billing analysis.
- Effectively work with DPS, CRM.
- Participate in group/client meetings, taking notes/minutes as required.
- Maintain group contact database - voicemail and email distribution lists and effectively correspond/communicate with group contacts on a daily basis.
- Use internal and outside resources effectively - investigate and find solutions when necessary.
- Organize, plan and oversee events and functions.
- Create and maintain electronic/hard copy files systems.
- Manage extensive travel arrangements for both international and
domestic business trips.
- Process time and expense reports.
- Provide back-up support for other Administrative Assistants in the cluster and department
Candidate Specifications
- Prefer college degree and related experience - at least 5 to 7 years.
- Professional demeanor.
- Organized, detail-oriented, competent follow through skills.
- Excellent computer skills - MS Word, Excel, Access, PowerPoint, Outlook and Internet.
- Excellent communication skills - spelling and grammar.
- Ability to be proactive and involved in executive's business dealings.
- Superior organization skills - ability to come up with processes and follow up.
- Ability to exercise good judgment/decision making when necessary.
- Ability to anticipate problems and act accordingly.
- Good proofreader, ability to write/answer correspondence.
- Ability to prioritize and multi-task - great time management.
- Ability to take
initiative - assertive and confident.
- Extremely flexible - able to constantly prioritize/reassess multifunctional position.
