Administrative Assistant/Legal Secretary, PBSG and Frito-Lay

And in everything we do, we strive for honesty, fairness and integrity.”The Legal Secretary/Administrative Assistant, PBSG and Frito-Lay Operations reports to and provides support for the PBSG Division Counsel and the Frito-Lay Operations Counsel, in addition to two Legal Assistants and one Contract Attorney.

Key Accountabilities:
Significant word processing and document revisions Review and revise out-going correspondence Schedule and maintain calendar of appointments and travel itineraries Organize and maintain files of managers' correspondence and records, along with corporate minutes books Follow-up on pending matters Help plan meetings ? setting up room, agenda, distributing meeting materials, both internal and external meetings Coordinate off-site meetings that team members host, including working with catering, arranging equipment, travel, etc Arrange travel itineraries and schedule travel on-line Owner/administrator of P-card for the group Process invoice transactions and expense reports Receive and screen phone calls, letters, visitors Send out overnight priority packages, manage printing/copying jobs Work as a team player helping out when other people have a high workload and special projects
REQUIREMENTS
? High School Diploma/GED; some college preferred 3+ years of legal secretary experience, either at a law firm or in-house Ability to maintain confidentiality Ability to handle multiple priorities simultaneously in a fast-paced environment Strong sense of urgency, with outstanding prioritization skills and professionalism Excellent written and verbal communication skills Ability to work with little or no supervision Excellent skills with Microsoft products (Outlook, PowerPoint, Word and Excel), and document comparison software (DeltaView) Willingness to learn and offer suggestions on process improvements Ownership of job responsibilities Flexibility to changing priorities and ability to function in a deadline driven environment
