Provide administrative support for the Director of Northeast Information Technology Services and the director's direct reports. Perform standard duties of an Administrative Assistant as well as diversified functions which require the knowledge of level office procedures and business practices. Hours are from 8:30am to 5:30pm with flexibility for overtime
Schedule meetings, organize and maintain Principal calendars with ability to understand challenges facing executive and be able to proactively manage/reschedule priorities effectively.
Manage extensive travel arrangements for both international and domestic business trips for director and management team
Interact
with key executives and senior management within the firm as well as within client organizations.
Routinely handle highly sensitive and confidential information appropriately.
Process Director's time and expense reports.
Handle credit card reconciliations for Principal
Answer and screen incoming calls in a professional manner while providing assistance and obtaining accurate information.
Participate in the Northeast ITS in house training programs
Ability to compose memos, letters, emails and other correspondence with little or no guidance.
Familiarity with company databases.
Familiarity with desktop publishing and database tools to create high quality presentations and reports.
Coordinate and participate in group/client meetings, taking notes/minutes as required.
Maintain group contact database - voicemail and email distribution lists.
Ability to effectively correspond/communicate with group contacts as needed.
Assist ITS operations manager in planning events and
functions.
Maintain group contact lists, wallet cards and both email and voicemail distribution lists.
Distributions of specific briefings to an email distribution list.
Serve as liaison of office resources to external and firm visitors.
Provide back-up support for ITS BAT phone at WFC
Prefer college degree and related experience - at least 3 to 5 years.
Superior organization skills - ability to come up with processes and follow up.
Ability to prioritize and multi-task - great time management.
Professional demeanor and self-starter.
Must be detail-oriented with excellent follow through skills.
Excellent computer skills - MS Word, Excel, Access, PowerPoint, Outlook and Internet.
Excellent communication skills - spelling and grammar as well as good proofreader. Should have ability to write/answer correspondence.
Ability to be proactive and involved in executive's business dealings.
Ability to take initiative while being assertive and confident

Ability to exercise good judgment/decision making when necessary.
Ability to anticipate problems and act accordingly.
Extremely flexible - able to constantly prioritize/reassess multifunctional position.
