Must be extremely capable of working independently and as part of a team, providing Administrative Support for the Chief People Officer and Chief of Staff.
Must be a self starter, highly effective, detail-oriented researcher and communicator with extensive experience in gathering and sharing accurate information utilizing the Internet and Microsoft Applications: Outlook, PowerPoint, Word and Excel.
Must keep information confidential at all times while using discretion in emailing, delivering, printing, disclosing and destroying of information.
Duties will include the following:
Heavy Outlook (Calendar scheduling, appointments)
Heavy Travel
Open, screen,
and distribute mail for director
Compose memos & lettres (drift, edit, format, etc.)
Screen Telephone calls
Know when to interrupt or locate P/P/D if necessary
Answer telephone if unavailable or if not picked up
Take phone messages or occasionally send to voicemail.
Send and receive email on behalf of P/P/D
Enter time and process expenses
Work with Records Management to ensure file retention standards are met
Store and retrieve files (e.g., billing)
File/store correspondence, copies of vendor invoices, memos
Format drafts of client deliverables (e.g., fonts, layout, etc.)
Finalize MS Office files (e.g., client deliverables, proposals, internal documents, etc.) into "client ready" format
Coordinate work with Document and Creative Services (DCS)
Reserve conference rooms
Book conference calls
Coordinate media arrangements
Make catering arrangements (for business purposes)
Provide "live" support (e.g., registration, set
up, note taking, etc.)
Make business travel arrangements
Create and maintain internal distribution lists - email/vmail
Create and maintain business distribution lists
Conduct basic data research - Internet and Intranet
Provide general services coordination (e.g., Office Services, Human Resources, ITS)
Make hoteling reservations and check-in
Order supplies via Ariba
Set up new vendors in APNet
Process change requests
Process invoices for payment
Follow-up on vendor requests re payment status
Provide hands-on support to new employees on firm programs such as DTE
Main point of contact/reference for communications staff, contractors & vendors
Ad hoc projects 
Prefer college degree and related experience - at least 3 to 5 years.
Superior organization skills - ability to come up with processes and follow up.
Ability to prioritize and multi-task - great time management.
Professional demeanor and self-starter.
Must be
detail-oriented with excellent follow through skills.
Excellent computer skills - MS Word, Excel, Access, PowerPoint, Outlook and Internet.
Excellent communication skills - spelling and grammar as well as good proofreader.  Should have ability to write/answer correspondence.
Ability to be proactive and involved in executive's business dealings.
Ability to take initiative while being assertive and confident.
Ability to exercise good judgment/decision making when necessary.
Ability to anticipate problems and act accordingly.
Extremely flexible - able to constantly prioritize/reassess multifunctional position.
Must have flexibility to work overtime as required.
