POSITION DESCRIPTION
TAX ADMINISTRATIVE ASSISTANT - BOSTON
General Position Responsibilities:
Administrative Support for the Partner, Senior Managers, and Managers in the Tax department. Requires strong understanding of firm, knowledge of office procedures, business practices, and firm standard software. This position requires someone who will need limited direction and can
work independently. Heavy phone coverage, billing, meeting coordination, and travel arrangements. Position hours are 8:30 a.m. to 5:00 p.m. with ability to work overtime.
Specific Responsibilities:
§ Answer and screen incoming phone calls in a professional manner, taking accurate, comprehensive messages.
§ Assist with the processing of tax returns for group
§ Conduct internet and intranet research for inclusion in proposals
§ Compose, produce and edit correspondence, including technical letters, spreadsheets and presentation materials.
§ Ability to proofread for grammar, content and accuracy.
§ Utilize Report Processing Group for preparation of client reports and presentations when needed.
§ Coordinate all aspects of travel arrangements for domestic and international business trips.
§ Handle all aspects of meeting coordination for meetings to be held in domestic and international locations.
§ Coordinate conference calls.
§ Prepare invoices, send faxes, print and
prioritize emails and other correspondence as requested.
§ Assist in creation and adjustment of projects.
§ Manage incoming mail, sort, read, and act upon appropriately.
§ Develop and manage a filing and organizational system files for internal and external client data.
§ Must be able to handle inquiries of a routine nature in absence of partner.
§ Able to exercise discretion and professionalism when relating to clients, both internal and external.
§ Ability to work independently with a minimum of direction.
§ Must be able to handle sensitive and confidential information with maximum discretion.
§ Excellent verbal and written communication skills.
§ Excellent skills on MS Word, Excel, PowerPoint, Outlook, and firm standard software.
§ Must be extremely organized and detail oriented.
§ Strong multi-tasking, prioritization, and organizational skills.
§ Strong attention to detail and follow through with important travel arrangements and projects.
§

§ Serve as backup administrative support in a team-oriented service environment.

§ Available to work overtime and Saturday during busy season.

Candidate Specifications
High School Diploma and 3-5 years of related experience
Excellent verbal and written communication skills
Excellent technical skills in MS Word, Excel, PowerPoint and Outlook
Excellent interpersonal skills and pleasant demeanor
Must be able to work independently as well as with a team.
Ability to multi-task in a fast paced environment
Excellent organization skills - ability to create and maintain file system
Strong attention to detail and follow through with important travel arrangements and projects
