General Position Responsibilities
Provide administrative support for the Firm Director and Director of National Public Relations, as well as other professionals for National Public Relations team. Perform standard duties of an Administrative Assistant as well as diversified functions which require the knowledge of level office procedures and business practices. Hours are from 8:30am to 5:30pm with flexibility for overtime.
Specific Responsibilities
- Ability to handle sensitive and confidential information with maximum discretion.
- Sort, distribute, read and act upon incoming mail accordingly.
- Schedule meetings, organize
and maintain executive and group calendars. Ability to understand challenges facing executive and be able to manage/reschedule priorities effectively.
- Answer and screen incoming calls in a professional manner while providing assistance and obtaining accurate information. Direct Media calls to appropriate PR function.
- Manage partner/director schedules. Be aware, at all times of how to reach individuals
- Prepare request for payments.
- Develop and maintain various department lists (for example, subject matter experts, trade media).
- Ability to compose, edit and proofread correspondence, Excel spreadsheet PowerPoint presentations.
- Conduct research.
- Manage content for department E-room.
- Prepare and update clip books, back-up preparation of daily news report/Deloitte News Network.
- Organize, plan and oversee meeting coordination, events and functions.
- Create and maintain electronic/hard copy files systems.
- Assist
with projects requiring analytical and organizational capabilities.
- Manage extensive travel arrangements for all business trips.
- Process Firm Director time and expense reports.
- Photocopy/fax/file.
- Provide back-up support for other Administrative Assistants in the cluster and department.
Candidate Specifications
- High school diploma and related work experience - at least 3 to 5 years.
- Professional demeanor.
- Organized, detail-oriented, competent follow through skills.
- Excellent computer skills - MS Word, Excel, Access, PowerPoint, Outlook and Internet.
- Excellent communication skills - spelling and grammar.
- Superior organization skills - ability to come up with processes and follow up.
- Ability to exercise good judgment/decision making when necessary.
- Ability to anticipate problems and act accordingly.
- Good proofreader, ability to write/answer correspondence.
- Ability to
prioritize and multi-task - great time management.
- Ability to take initiative - assertive and confident.
- Must have flexibility to work overtime as required.
