POSITION DESCRIPTION
ADMINISTRATIVE ASSISTANT - Albany Consulting Practice
JOB SUMMARY:
Provides a wide range of administrative duties for multiple staff members. Performs functions of a non-routine nature as well as diversified additional functions requiring basic knowledge of the consulting function as well as strong knowledge of database/computer
skills. Extensive contact with facilities, managers, and external clients.
DUTIES AND RESPONSIBILITIES:
Performs general office duties, such as telephone coverage - answers and directs calls, screens voicemail and responds to routine requests from clients and senior staff, sends faxes, photocopies, maintains calendars, makes domestic/international travel arrangements, sets up telephone conferences, meetings, community and social events, prepares time and expense reports, sorts mail, pays invoices and greets visitors/clients. Responsible for maintaining adequate office supplies, smooth operation and ongoing maintenance of all office machinery May be responsible for the review and preparation of routine forms and reports, compilation and analysis of statistical data and assistance in the management of daily office business details including various billings and project tracking, engagement administration which may include spreadsheet design and database
management. May be responsible for participating in project conference calls and take the minutes of the call. Sales support to assist in the development of external presentations and procurement of marketing brochures and material from internal gateway. Contact point for questions from the practice regarding Industry activities and initiatives. Responsible for web searches of client/company profiles, business opportunity/procurement through search engines. Assist with billings and collections information relating to consulting function. May be responsible for delivery/ pick-up of firm related documents and occasional travel may be required.

POSITION CHARACTERISTICS:
Education and Experience Required: Minimum 2 year college degree and of 3-5 years experience as an administrative professional/ office manager. The position requires the ability to work in a fast-paced, environment. Candidate must be able to work independently to complete projects and assignments. Individual must have excellent interpersonal skills, be a self-starter and highly motivated. Needs to be able to prioritize workload in an efficient manner. Maturity to handle confidential information in numerous areas. Ability to leverage the senior staff in their daily tasks. The candidate should possess very strong Outlook, Microsoft Word, Excel, and PowerPoint skills. Familiar with Adobe Acrobat and Project.
Overtime will be necessary at a member's request to insure complete a project. Must possess the ability to work with all levels of management
staff and represent the Firm in a professional manner at all times.
