Administrative Assistant - IT VP - HQ (revised)
We have an opportunity for an experienced, senior-level Administrative Assistant to work with our IT Vice President. The successful applicant for this newly expanded position will not only work closely with the ITVP and his technical group, but will be a valuable member of our senior management support team.

Highlights of primary responsibilities include:
Perform administrative, analytical, and clerical functions associated with the position and directed by the ITVP. These include:
(1) Researching, quantifying data, assembling reports and proposals.
(2) Preparation of PowerPoint presentations and other documents as needed.
(3) Assist ITVP in all areas of his responsibilities especially in preparation and revision of complex operation metrics.
Calendar management: Meeting schedules, reminder file, Brandywine master calendar.
Communication: Manage ITVP’s and related department written, email and telephone communications.
Travel: scheduling, booking and itinerary maintenance for ITVP as well as organize technician regional office visits as needed.
Administrative: administrative assistance directly for ITVP and Department where appropriate. For example:
(1) routine secretarial support to include phone coverage, file maintenance, expense reports;
(2) review mail, highlight, respond and redirect mail as appropriate
(3) accounting appropriate to equipment bid and purchase management, purchase orders and payment schedules
(4) manage department equipment inventory
(5) produce advance notice material associated with calendar items
(6) project management and administrative tasks assigned as business needs arise
(7) routine duties and other tasks generally performed for the support of the executive and as business needs arise.
REQUIREMENTS
Must have:
(1) "team player" orientation, complimenting a strong administrative background.
(2) 7-10 years administrative assistant experience, with a minimum of 5+ years experience working for a senior level executive. College degree preferred.
(3) Superior interpersonal, verbal, and written communication skills, including letter (email) composition.
(4) Proven proficiency with MS Office Suite applications, with special emphasis on Word, Excel, and PowerPoint.
(5) High level of organization and attention to detail; ability to conduct research, quantify, and develop summary report of analysis.
(6) Working experience with corporate budget process, variance reporting and analysis, and purchasing and vendor management.
(7) Demonstrated ability to work under pressure, plan, organize, coordinate multiple projects and meet deadlines, all with discretion and tact; service orientation.
Occasional late hours required.
