The Grow Network currently has an outstanding opportunity for an Administrative Assistant based in our New York office.
The perfect candidate for our Administrative Assistant position is professional, personable, high energy, excels in communication and organization, and is searching for an opportunity to really participate in the growth of an expanding company. The Administrative Assistant will provide general support for 1 to 2 Vice President(s) and, as business dictates, department staff.
Essential responsibilities/functions include:
Plan and prepare for meetings and events, including preparation of documents and reports (Word, PowerPoint, Excel)
Manage Outlook calendar appointments & schedules, including scheduling interviews for team members and some travel arrangements and itineraries
Prepare and submits monthly expense reports for VP's and self
Monitor internal collection of timesheets for supported teams and follow up accordingly with employees
Oversee and maintain the general office supply inventory
Purchase special supplies for supported departments, including ordering of business cards & stationery
Coordinate desk setup, office moves, and phone requests, including administrative processing for new hires and consultants, and coordination as required with building management
Work with administrative team members to manage general services, including:
maintaining efficiency and effectiveness of the office environment,
maintenance & cleanliness of common areas in the office
Work with administrative team memebers to maintain communal printers and self-service copy machines, including stocking of required supplies and scheduling repairs
Provide backup coverage to Receptionist & Administrative Assistants as needed
Serve as point of contact for incoming/outgoing phone, e-mail, and guests
Provide basic administrative support, including filing, photocopying, faxing, mailing, etc.
Other responsibilities include:
Handle confidential material and information in a professional manner
Anticipate needs/priorities in a proactive manner and provide corresponding execution
Assist in maintenance of company Sharepoint site
Maintain, updates, and distribute revisions and additions to the Administrative Procedures for the Company.
Provide training for new Company administrative employees.
Provide Non-Disclosure Agreement forms to all interviewing candidates for signature
Perform other related duties and tasks as assigned or as become evident.Job Requirements
1- 2 years experience in an administrative support role
Bachelors or Associates Degree Preferred
Proficiency in Outlook, PowerPoint, Word (scores in 90th percentile) and Excel (scores in 75th percentile)
Expertise in multi-tasking and attention to detail
Demonstrated strength in business communication (written and verbal)
Excellent interpersonal skills
General knowledge of office equipment
Priority Setting
Strong organizational and coordination skills
Ability to work in a team environment
Ability to work independently and proactively
