Provide secretarial and administrative assistance to Director of Entertainment. Answer telephones, handle daily mail, and cover executive administrative positions when needed. Compose and type letters and memos. Attend various meetings when required to compose minutes. Responsible for assigned projects. Coordinate reservations and meeting room needs for vendors, staff, and guests. Schedule meetings including attendees, speakers, location and amenities when needed. Coordinate travel arrangements and hotel reservations. Keep all files up to date. Assists department visitors as needed. Produce initial entertainment contracts and subsequent contract updates as required. Set up excel spreadsheets, tables and charts. Submit invoices to accounting for payment when required. Perform other duties as assigned.
REQUIREMENTS
High school degree or equivalent with advanced business and secretarial training and/or college education preferred.
Must be able to type proficiently and use various software including word processing, spreadsheet, and office automation systems.
A MINIMUM OF 2 YEARS experience in the entertainment field is REQUIRED.
Must possess strong organization, interpersonal and communication skills.
Ability to simultaneously manage multiple tasks and be productive in a deadline oriented environment
