Administrative Assistant - Enrollment Services
Summary/Position Objectives:
Under the general supervision of the Director, Customer and Enrollment Services, this position is responsible for developing and maintaining department databases, compiling data, designing member newsletters, providing administrative support to the director and managers, and other department functions and projects as necessary.
Responsibilities:
Essential Functions:
Creates and generates data collection tools for quality improvement activities to facilitate gathering, extracting, and reporting data, while ensuring data and application integrity. Utilizes multiple programs and/or systems to process and analyze data and information.
Maintains integrity of departmental databases. Performs periodic audits and makes changes/corrections as necessary.
Develops and implements new computer processes for retrieving and reporting data.
Retrieves and compiles data and prepares complex trend analyses and statistical reports monthly, quarterly, and annually, including ad-hoc reports from various sources, both within and outside the organization, i.e., phone reports, member grievances, provider assistance program, reimbursements, billing concerns, etc.
Works in conjunction with information systems and quality management to develop special reports, new queries, and automate processes as requested.
Assists in designing member newsletters to appeal to the target population and coordinates with the purchasing department for distribution.
Documents department processes and prepares training materials in coordination with the management team and/or department trainers.
Provides administrative support for the director and managers and assists with other department administrative projects as necessary, including new business initiatives.
Records, creates and distributes minutes of departmental and interdepartmental meetings.
Works in a manner that is not disruptive to peers, supervisor, and subordinates.
Performs other related duties, assignments, and responsibilities as assigned or required.

Maintains availability and willingness to work such days and hours as the employer determines are necessary or desirable to meet its business needs.
Maintains availability and willingness to travel to such locations and with such frequency as the employer determines is necessary or desirable to meet its business needs (if travel required).
REQUIREMENTS
Knowledge and Skills:
Proficiency in Word, Excel, Access, Microsoft Project, Publisher, etc.
Intermediate to advanced math skills working with percents, ratios, fractions, etc.
Working knowledge of statistics
Ability to perform quantitative analyses
Moderate decision-making responsibility
Reads, writes and orally communicates at a level to correctly solicit/explain information.
Effective business communication skills
Education and Work Experience:
Minimum of three years of administrative or advanced secretarial experience in a fast paced environment. Healthcare experience preferred.
