Position Description

JOB TITLE:Administrative Assistant/Database

SUMMARY:Responsible for supporting Senior VP, Resource Development by providing all administrative and database support. Special emphasis on fundraising database conversion “cleanup”, writing an instructional manual and managing integrity of data.

RESPONSIBILITIES:
?Responsible for overall coordination of the Fundraising 50 (Paradigm) fundraising database and accuracy of conversion data. This includes maintaining the integrity of the database through ongoing updates and improvements, writing protocol and instructional guide, troubleshooting, queries, file comparison and analysis as well as data corrections. Additionally this includes recording contributions, generating mailing lists, preparing reports and general retrieval of required information.

?Coordinates event- and campaign-related mailings including creating materials, ordering supplies, securing approvals and performing necessary follow-up to ensure materials have reached recipients.

?Coordinates other department-related efforts related to events, proposals and campaigns including but not limited to initiating and responding to telephone calls and requests, coordinating meetings and conference calls, travel requests, check requests and expense reports.

?Draft professional business correspondence such as acknowledgement letters and thank you letters.

? Assists with other projects and tasks as required.

SUPERVISION:Reports to the Sr. Vice President, Resource Development.

REQUIREMENTS
Qualifications: Bachelors degree preferred; minimum 5 years previous administrative experience; Excellent understanding of office/business protocol; advanced working knowledge of MS Word, Excel and general to strong database programs (Paradigm and Raiser’s Edge a plus); excellent interpersonal and communications (oral and written) skills; strong attention to accuracy and detail; ability to draft business letters, acknowledgement and thank you letters; ability to prioritize and manage multiple projects simultaneously within fast-paced environment.
