Thank You for Your Cooperation.VHA has a career opportunity for an Administrative Assistant to provide support to VP, Communications, and assistance to Senior Director, PR and Editorial Services; Director, Public Affairs; and Director, Employee Communications.
Essential Responsibilities:
•Screen and direct telephone calls and visitors. Answers and resolves routine and complex inquiries.
•Coordinate meeting arrangements to include planning, preparation and logistics.
•Schedule and maintain calendar of appointments, meetings, travel itineraries and expense reports.
•Build strong relationships and act as liaison within the department regarding administrative issues. Initiate communication and interface across all levels of management and departments to obtain information.
•Generate member and vendor mailing list for Alliance Magazine and internal distribution.
•Check news sources on a daily basis for VHA related articles and not-for-profit hospitals. Maintain electronic file of saved/scanned articles of interest and store hard copies.•Prepare correspondence, reports, and/or forms and maintain confidential information and files. Copy and fax documents.
•Maintain files, sort and mail documents.
•Prepare expense reports, meeting materials and moderately complex presentations.
•Participate and work on special projects as assigned.
Requirements:
•Proficient skill in PC applications (MS Word, Excel, Access, PowerPoint and the Intra/Internet).
•Highly skilled in verbal and written communication to analyze, interpret, and address customer needs.
•Skill in understanding customer needs and providing quality customer service.
•Skill in planning, organizing, and managing time across multiple tasks and customer needs.
•Strong verbal and written communications and interpersonal skills related to daily activities (e.g. superior one-on-one people skills, email telephone etiquette, concise and accurate/timely response to email/voicemail).
•Ability to work independently in a fast-paced team environment.
REQUIREMENTS
• High School Diploma - Bachelors degree preferred;• Three - 5 years administrative experience.General work hours are 7am – 4pm
