- Manage calendar, coordinate conference calls, answer phones, and receive visitors
- Organize meetings including arranging space/catering in the Foster City office and offsite
- Manage HP email distribution lists
- Make travel arrangements through firm travel agency
- Must have extensive experience supporting executives
with travel that includes an understanding of the details such as upgrades, frequent flyer programs, firm policies, cancellation and rebook policies, international policies, etc
- Attend HP opportunities conference call on a bi-weekly basis
- Update HP opportunities in SmartNet system and run SmartNet reports
- HP invoicing via OB10 and Accounts Receivable follow-up
- Troubleshoot and work with IT on issues concerning Treo device and computer
- Coordinate eRoom activity and update information as needed
- Type handwritten documents into appropriate application
- Printing of emails and other documents as needed
- Filing
- Time and Expense entry via DTE
- Create and/or edit PowerPoint presentations
- Board Meeting registrations
- Other responsibilities as assigned
