Administrative Assistant - General Growth Properties has an immediate need for an Administrative Assistant located at Park Place, Tucson, AZ.

Our malls feature more than 24,000 retail stores and anchor department stores, as well as theaters, sit-down restaurants, ice skating rinks and other forms of family entertainment.


Responsible for efficient office operations for center, assisting team and managers with correspondence, research, data collection, report input and files management.


Administrative Assistant types and distributes correspondence, memos, reports and maintains up-to-date files.

Administrative Assistant assembles and compiles data for reports or presentations.

Administrative Assistant may relay service requests to Housekeeping, Maintenance, and Public Safety.

Administrative Assistant oversees and replenishes office, mail, courier and filing supplies.

Administrative Assistant answers phone promptly and appropriately relays phone calls and messages, schedules conference calls and enables for participants.

Administrative Assistant prepares, maintains and distributes team lists and reports as assigned.

Administrative Assistant may provide administrative support to Accountant, Marketing Manager, Operations/Public Safety Manager, Specialty Leasing Representative, and General Manager, as assigned.

Administrative Assistant may assist Specialty Leasing with coordination and distribution of paperwork.

Administrative Assistant issues Gift Cards to customers and balances system daily, forwards reports to Marketing Manager and Mall Accountant.

Administrative Assistant "sells" fax and copy services to tenants and collects/tracks associated income.

Administrative Assistant greets and assists customers, tenants and colleagues.

Administrative Assistant work with team on scheduling issues to insure cross-coverage is provided for phone and Front Desk.

Administrative Assistant informs Managers of problems through interaction with customers and tenants.

Administrative Assistant handles all new employee paperwork for new hires and is responsible for being the Human Capital Contact for the mall.
REQUIREMENTS
REQUIRED

Education: High School or equivalent.

One to two years progressive secretarial experience.

Good telephone and messaging taking skills, capable of troubleshooting switchboard problems.

Proficient in Microsoft Word, Excel for Windows.

Knowledge of Extenisty and Ceridian systems preferred.

Experience with email transmission and receipt and document management.

Excellent time management skills.

Able to multi-task in fast paced setting.

Good working knowledge of office equipment and ability to troubleshoot performance problems.

Excellent business writing and verbal communication skills.

Ability to screen visitors and customers with problems or issues to direct to appropriate Manager.

Detail-oriented with high degree of accuracy.


STRONGLY PREFERRED


Some college or Business/Secretarial School.

Three years front desk and administrative experience, preferably in corporate setting.

Experience producing documents and presentations from Microsoft Publisher and PowerPoint.

Ability to clean and remove jams from printers and copiers.

Do routine file cleanup and memory management on computers.

Office Management skills to streamline and increase efficiency of routine tasks.
