Administrative Assistant 2 / Admin

Responsible for providing administrative support to Site Administrator and Site Manager in the form of organizing and prioritizing their work, answering multi-line telephones, filing, typing, organizing, distributing and transcribing basic correspondence, such as memos and letters, coordinating meetings, maintaining electronic schedules and maintaining confidentiality at all times.Answers, screens and transfers telephone calls on a multi-line systemMaintains workflow by studying methods, implementing cost reductions and developing reporting procedures.Creates and revises systems and procedures by analyzing operating practices, record keeping systems, forms control, office layout, and budgetary and personnel requirements; implements change.Resolves administrative problems by coordinating preparation of reports, analyzing data and identifying solutions.Maintains electronic schedules, including coordinating internal and external meetingsOrganizes and distributes correspondence, reports, memos, etc.Develops and maintains filing systemsEnsures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks and participating in professional societies.
Contributes to team effort by accomplishing related results as needed.
Provides information by answering questions and requests.
Performs other duties and/or special projects as assigned by supervisor.
REQUIREMENTS
Over 1 year and up to and including 3 years of experience.A high school diploma, G.E.D. or equivalent. Includes special certification required for specific jobs.
Computer literacy (Windows 95 and Microsoft Office 97).
Multi-line telephone experience.
Filing skills.
Customer service orientation.
Able to type 55 wpm.
Ability to maintain professional appearance and behavior.
