While under minimal supervision, incumbent will provide information management and support in the monthly and quarterly production of employer reporting, monthly production of the operations division reporting and general administrative support for the Vice President Operations and the division Directors. Work requires discretion and tact in addition to the ability to work in a confidential manner. Hours are 8:30 am - 5:00 pm. Overtime and schedule flexibility is required.

Essential Functions:

Using data received from numerous sources, create reports for issuance to various Employers. The reporting can occur on a monthly and quarterly basis. Some reporting requires analysis of data to ensure that contractual agreements with clients are being met.

Using data received from numerous sources, create monthly division statistics reports. Reports include graphical displays of statistics. Track the status of several division-wide objectives related to quality and provide reporting to management.

Provide general administrative support including typing, copying, filing, drafting routine correspondence, travel arrangements, and other general administrative functions as needed by the Vice President and division Directors.

Process bills, purchase authorizations, timesheets, etc. Maintain calling tree, organization charts, leave calendars for the division.

Provide administrative support in the tracking of budget variances by unit. Provide analysis on transactions allocated to cost centers. Requires interaction with Finance.

Provide administrative support to various projects in the division including Disaster Recovery and Division Bulletin Board.

Other duties as assigned.

REQUIREMENTS
Requirements:

Bachelor of Arts/Science degree or equivalent work experience required. Equivalent work experience including three to five years administrative support experience with collection, calculation, and presentation of statistical data skills.

Word processing and spreadsheet proficiency (Microsoft Word, Excel, Access, and Powerpoint)

Strong analytical and proven written communication skills

Proven ability to effectively interact with internal and external clients using tact and diplomacy

Accuracy, productivity, dependability, and good attendance record are essential attributes

Ability to work independently under general instructions

Ability to maintain strict confidentiality
