Admin / Office Manager
Full-time position providing administrative support to non-profit childcare services agency. This is a hands-on role responsible for the smooth running of the regional office. This position is a great opportunity for a self-starter who can work effectively with our regional team to evaluate processes, recommends and implements changes.
Typical responsibilities include:
•Make travel arrangements, Prepare correspondence, reports, proposals
•Maintain data and inventory for program resources and product inventory. Maintain filing system. Purchases/orders office supplies to maintain consistent inventory for regular and/or special needs
•Respond to incoming calls/requests from centers, staff, prospective customers, and community agencies.
•Take the lead in working with centers to receive required information for reporting; escalate issues to next level of management. Distribute information/product materials (brochures, marketing info, supplies, etc.) to centers.
•Assist with editing/proofreading materials and presentations.
•Coordinate/implement events. Manages and coordinates projects and major meetings including facility logistics, catering and materials
•Lead and/or participates on cross-functional teams, task forces in region
•Manages logistics and space planning within regional office. Coordinate with corporate/ support departments to acquire storage, voicemail, mail and telecommunications services.
•Manages impact of regional office supporting centers and their satisfaction with services provided; addresses customer service and related processes to meet internal needs
•Stays current with the technical tools and available training to promote technical literacy of department or office staff.
REQUIREMENTS
Required qualifications, skills, experience:
•Proficient in use of MS Office Suite programs, including MS Publisher, as well as Power Point, Excel, and other Windows applications. Type 50 wpm
•Excellent organizational and communication skills
•Minimum 3 years' experience with increasing responsibilities.
•High-school diploma; AA preferred
•Strong writing and verbal skills and math abilities. Familiarity with statistical programs.
•Ability to coordinate complex projects.
•Work independently and as a team member.
•California driver license, proof of auto insurance and reliable transportation. Must have strong computer skills
