Job Description:
The Document Specialist prepares, implements and coordinates production projects, which may include but is not limited to financial statements, audit reports, proposals, presentations, and template-driven production documents such as nametags, tents, covers, tabs, etc. This professional is responsible for all phases of project management, including customer service, text editing and processing, and template formatting. The Document Specialist also produces documents in standard formats/templates and custom formats/templates, and prepares files for digital output and duplication.Responsibilities
Communicate with work originators to clarify work assignments and instructions for resolving problems that impact timely project completion.Acquire and utilize knowledge of Ernst & Young guidelines for document production specifics.Interface with Ernst & Young's Creative Services Group (CSG) staff for the best use of resources/abilities.Know and apply firm-standard formatting.Maintain an awareness of new accounting pronouncements and firm guidelines that impact deliverables.Pursue and share best practices within the department and among ESP/CSG staff.Work collaboratively with the department for feedback on maintaining firm standards.Work as a team player in planning, scheduling and production.Perform electronic file management and archiving.Acquire proficiency in using Lotus Notes mail and E&Y internal databases, including the CSG tracking database.Verify the correct procedural use and application of firm standards as well as the E&Y signature.Work with outside vendors, when needed, to ensure projects are completed in a timely fashion.Enter time and materials into the tracking database. Additional responsibilities (up to 49% of workload) are as follows: Process customer requests and clarify instructions to meet established deadlines. Schedule and allocate daily work assignments to staff. Assign work requests to staff. Monitor and track assignments in databases. Create timelines and cost estimates in the tracking database for non-complex work requests. Handle routine problems and unexpected situations, and provide assistance in problem resolution. Maintain an awareness of 'state-of-the-art' developments with respect to techniques and equipment (hardware and software). Qualifications: The incumbent of this position must have:Education: - a Bachelor's degree in a related discipline, or equivalent work experience Experience: - 3-5 years of related experience Skills: - outstanding customer service skills - excellent interpersonal and communication skills, and the ability to effectively interface with personnel at all levels - dependability, strong teamwork skills, and the ability to prioritize and meet deadlines in a fast-paced environment - the ability to successfully manage and coordinate simultaneous projects with multiple-level tasks, and function independently while exercising sound judgment - the ability to improve standardized best practices and service deliveries to accomplish firm, group, customer and or individual goals - the ability to meet new challenges with an open mind and an optimistic response - knowledge of the firm's structure, key personnel and organizational policies and procedures, as well as a functional knowledge of a professional services environment - proficiency in the use of standardized hardware and software applications This professional must be available to work overtime when needed.
