Order Management Coordinator

JOB DESCRIPTION

The Order Management Administrative Assistant performs tasks such as order checking, blanket ordering and warranty processing. Also performs a variety of standardized tasks such as filing, copying, labeling, and creating binders.

MAJOR DUTIES/RESPONSIBILITIES

Generates and submits manufacturing control orders with direct instruction from Project Managers.

Performs task of order checking and warranty processing.

Maintains accuracy in all data entry and double checks work of others to reduce errors and omissions.

Creates file folders and labels for new projects.

Print and save program related documents as pdfs (recommendation books, surveys, artwork, and engineering drawings, etc.)

Generates product code keys in WINDMS.

Submits requests for artwork, engineering drawings and estimates.

Refresh and submits A/R reports.

Ability to interact effectively in a positive and tactful manner with all levels of the company.
REQUIREMENTS
PRINCIPLE WORKING RELATIONSHIP(S) (Client, Customer, Inter/Intra Divisional, Worldwide)

Primary customer base consists of Accounting, Program Management and Manufacturing employees in Icon (Elk Grove, Lexington and Largo) and ECS. Must interact well with all levels of the organization on a daily basis.

JOB REQUIREMENTS

Must have good understanding of the company organization and be able to prioritize workflow and determine the importance and accuracy of work, directing questions to appropriate individuals when required. Must be able to organize and prioritize functions on a daily basis to ensure all tasks are completed accurately and efficiently.

At least two years previous experience in a daily entry capacity helpful but not required. Ambition to learn. Ability to keep up with and manage daily tasks of operation.

OTHER SKILLS REQUIRED

Knowledge MS-Office (Excel, Word, Access, PowerPoint).
Detail oriented.

Must have organizational skills and ability to prioritize work to meet critical time frames.
Must take initiative in participating and resolving problems independently.
Must be able to multi-task.
Must possess good interpersonal skills.
Must be able to assist employees in the department when necessary.


PHYSICAL REQUIREMENTS (List lifting, standing, manual dexterity, etc.)
Daily lifting of boxes with file folders, stacks of PO paper, and stacks of orders to be submitted to the shop.
