Lease Administrator

I. POSITION SUMMARY: This position is responsible for ensuring that all invoices are paid in a timely manner and in accordance with department parameters.





II. RESPONSIBILITIES:


· Review all supplemental interim landlord charges on invoices to abstracted leases for accurate and timely
o Monthly recurring voucher maintenance

o Update additional rent system for changes in monthly charges

o Post to the appropriate ledger any additional charges due landlords

o Review requests for payment increases to determine reasonableness

o Address payment changes

o Federal Income Tax and Misc-1099 information


· Review and compare year end adjustment charges from landlords to leases for accurate and timely processing.

o Prepare schedules summarizing landlord charges and input into additional rent system

o Compare charges on a year-over-year basis for deviations

o Compare charges on a regional basis for deviations


· Recognize and contest charges not in compliance with the lease.

o Communicate with landlords, both verbally and written, to obtain the information necessary to resolve the situation

o Ability to interpret commercial lease terminology

o Make recommendations on issues to management





· Insure the proper identification, prioritization and distribution of incoming documents.

o Defaults

o Notice address changes


· Review monthly profit and loss statements and verify that amounts booked are appropriate and necessary.

o Create journal entries

o Review and analyze P & L for appropriateness

o Prepaid and liability accruals and reconciliations


· Maintain the correctness of the store profile and additional rent system and print and prepare reports for distribution.

o Abstract and input new leases into the store profile system

o Construction allowance receivables


· Prepare and distribute recurring as well as ad-hoc financial reports

o Kickouts

o Expirations

o Construction allowance

o Step leases

o Co-tenancy status


· Assist in the preparation of annual and interim budgets for the property management area.

o Minimum rent

Travel Percentage: 0%III. REQUIREMENTS: Education/Experience/Skills


· Minimum - High School diploma

· A good understanding of accounting including processes, procedures and internal controls

· Proficiency is use of MS Excel, MS Word, JDE/JDA as well as knowledge of using a lease management database

· 10-key by touch

· Good reasoning
· Good math
· Strong interpersonal, written/verbal communication and presentation skills

· Must be able to work unsupervised

· Must be able to meet stringent deadlines
